**WE ARE RECRUITING A HEAD OF BUSINESS SUPPORT**

**Position of the job in the organisation**:
**Principal responsibilities**:

- Leadership, management, and accountability for team members, including but not limited to the Office Administrator and assistant.
- Maintain and update ongoing internal processes and policies; fully understand the company’s internal and external processes and ensure they are documented and updated; this may include working with external consultants to streamline and document the processes
- Compile various reports, and follow up on progress reports across various departments
- Monitor and manage key business activities
- Day-to-day office management, including maintenance
- Develop a deep understanding of our insurance needs and ensure we are adequately covered; full responsibility for the process, implementation and management, including reporting
- Fleet/vehicle management and control, including vehicle policy updates, fines, reporting, insurance claims
- IT asset management from purchasing, insurance claims, updating of documentation and reporting
- Other company asset management including cell phones, iPad/tablets, equipment, furniture etc.
- Drive operational change in terms of processes and automation to streamline workflows
- Plan and follow up on strategic meetings action items to ensure accountability
- Provide executive assistant to C-Suite and senior management
- Compile reports and create spreadsheets
- CEO and CIO diary management, to the degree requested by each individual
- Prepare agendas and minute-taking of Board meetings when requested
- Any other job duties associated with this role.

**PERSON DESCRIPTION**

**Experience**:
8 years plus in an Office Manager, Executive PA or similar role.

**Specific attributes**:

- Degree in business administration, management, or a related field.
- Experience with business support or office management.

**Desirable Attributes**:

- Excellent written and verbal communication.
- Ability to analyse and assess.
- Decision making.
- Planning and organisation.
- Attention to detail.

**What Does Success Look Like?**

**By month 3**:
I will be familiar with our software and business processes. I will have conducted quarterly reviews with my direct report; I will understand who our primary business suppliers are and have established myself as the go-to for all business support activities. I will have a good understanding of our insurance needs and process.

**By month 6**:
I am accountable for all business suppliers. I am the go-to person for the Manco team regarding administrative tasks and responsibilities. I fully control and own the Vodacom account, company insurance and internal administration processes and tools.

**By month 12**:
I can confidently run the Department and take over all company insurance, vehicle policy and processes. I work with external stakeholders on our internal business processes, which are documented and shared by all.

**Salary**:
