**JOB TITLE**: PROJECTS ADMINISTRATOR**
**DEPARTMENT**: ACCOUNT EXECUTIVE TEAM**
**Main Purpose**:Provide support and assistance to the Account Executive Team & the Senior Project Administrator
**Account Executive Support**:
- Screen telephone calls, take messages, enquiries and requests, and handle them when necessary
- E-mail messages to team
- Organize and maintain diary and schedule meetings when required
- Produce documents when required
- Preparation and upkeep of contracts / client files and other
- Assist with client queries when Account Execs are not available
- General office assistance e.g. Filing
- Account Execs Client files - ensure pre-labelled tabs are available in the Account Exec team office
- Ensure the original signed terms and conditions / approved quotes / approved budgets are filed with the Accounts Department
- Follow up on furniture & fabric purchase orders placed for Account Execs & assist with changes to spec etc
- Occupancy admissions - Assist with compiling the documentation from various parties including engineers etc / scan paperwork in and file in AE folders / submit paperwork to the Consultant / assist with any queries / keep AE advised on progress
**Preparations of budgets and quotations**:
- Prepare and bind preliminary budget supporting documentation
- Prepare quotations for projects
- Prepare and bind final budgets with supporting documentation
- Book the Boardroom for presentations, order snacks and ensure the Boardroom is set up timeously
**Administration Duties**:
- Ensure tidiness of offices at all times
- Archiving of company documentation
- Ensure continuous self-development through training and research
- Assist with Management of Small Works Driver and Assistant
- Manage daily and weekly duties and responsibilities of the Small Works Driver and his assistant when required
- Write through approved quotes, budgets etc to create sales orders when required
- Produce project reports for AE team
- Meet with AE on a weekly basis to discuss items not placed (construction, furniture and extras) thereafter discuss with Managers.
**Salary**: R15000- R18 000 Gross
