**BACKGROUND**

Zeitz Museum of Contemporary Art Africa (Zeitz MOCAA) is a not-for-profit institution that exhibits, collects, preserves, and researches contemporary art from Africa and its diaspora; conceives and hosts international exhibitions; develops supporting educational, discursive, and enriching programmes; encourages intercultural understanding; and strives for access for all. The museum’s galleries feature rotating, temporary exhibitions with a dedicated space for the permanent collection. The institution also includes the Centre for Art Education, the Centre for the Moving Image, and a Project Space for emerging artists. It opened to the public in September 2017.

The Museum Fellowship Programme Coordinator works with Zeitz MOCAA and University of the Western Cape senior staff on the administration of the Zeitz MOCAA & University of the Western Cape (UWC) Museum Fellowship Programme and related activities. Reporting to the Assistant Curator, the individual serves as the primary contact for administrative activities and acts as a liaison between the Museum and the University, as well as a liaison between fellows and the Museum, providing guidance and support to fellows during the Fellowship. The coordinator also supports and contributes to research and administrative tasks within the Curatorial Department.

**KEY RESPONSIBILITIES / ESSENTIAL DUTIES**

***Fellowship Intake and Recruitment**
- Content sign off from various internal and external stakeholders
- Arranging travel logistics for recruitment drive in compliance with all stakeholder policies
- Arranging schedule of events for recruitment drive
- Research on potential partners or collaborators from the African continent

**Commencement Preparation**
- Assisting with the organisation of the orientation programme, including scheduling events or meetings with both internal and external collaborators
- Arranging relevant IT, access card set up with relevant museum departments
- Liaising with UWC on relevant administrative letters for visa support
- Arranging accommodation and rental agreements for fellows
- Arranging welcome packs for incoming fellows and coordinating airport transfers

**General Office Administration**
- Provide both administrative supervision and support to fellows
- Being responsible for the administrative tasks related to the fellowship
- Creating schedules and responsibility rosters for fellows and responsible stakeholders
- Coordinate professional practice activities and meetings that help fellows expand their professional network
- Assist with the compilation of end of semester/ progress assessment and evaluation data
- Coordinate, share and update the rotation, vacation and leave schedules
- Assist with basic budget administration
- Assist in composing and drafting documents and correspondence for presentations, grants, conferences, seminars, and programme reports
- Assist with general curatorial department research
- Facilitate guided exhibition tours
- Fellowship alumni liaison and alumni newsletter and general fellowship content coordinator
- Coordinate regular fellowship related meetings for:

- Supervisors
- Fellows
- Fellows and supervisors
- UWC and Zeitz MOCAA
- Executive Director and Fellows
- Administration and coordination support to the curatorial department

**Programme Completion**
- Give logístical guidance for the fellows end of programme project
- Coordinate farewell function
- Coordinate programme feedback and evaluations
- Arranging accommodation inspection with outgoing fellows and the landlords

**REQUIREMENTS**

**QUALIFICATIONS AND EXPERIENCE**
- Completed 3 year degree or diploma in related field
- Minimum of 3 years’ experience working within an administrative/coordinator type role
- Must be flexible able and willing to work at times weekends and after hours when required
