**SUMMARY**
Provide receptionist duties for the front-desk of the hospital, as well as administrative support to Hospital Manager.
**ESSENTIAL DUTIES & RESPONSIBILITIES**
Include the following, but other duties may be assigned.
**Reception Duties**
- Performing receptionist duties providing assistance/backup to the Administrative Assistant and Ward Secretary.
- Keep reception area clean, tidy and welcoming at all times, and do not leave confidential patient information unattended or in plane site.
- Provide relevant information to callers, bearing in mind the employee confidentiality statement signed, Releasing of Confidential Information Policy and Confidentiality of Patient Records Policy.
- Receiving, welcoming and directing guests, patients, support group members, and other.
- Deal with public queries or escalate to relevant department for further assistance.
- Monitor visitor access and maintain security awareness - ensure the visitor’s register is completed by visitors.
- Keep all reception cupboards clean and tidy at all times.
- Arranging couriers.
- When packages are delivered via Couriers to the hospital, control delivery note together with the content, to ensure the correct amounts of goods are delivered.
- Co-ordinate meetings and Boardroom bookings.
**Administration duties**
- Stationary management.
- Petty Cash management if assigned by Hospital Manager.
- Efficient and effective filling of general documentation.
- Assist Hospital Manager with administrative duties as and when needed.
- Report any faulty IT, telephone or other equipment issues to Hospital Manager.
**Patient Files and patient related duties**
- Check patient discharge forms and coordinate discharge activities with the hospital’s business office, including the arrangement of ambulances for transfers.
- Ensure patient files are indexed and maintained according to company Policy.
- Print patient details for ward usage.
- Update Hospital Patient Bed List, daily and make available to Hospital Practitioners.
- Print and control patient stickers.
- Ensure patient liabilities is paid when issued and that patient liable accounts are settled before discharge.
**Admission & Discharge Responsibilities**
- Admission of patients according to company processes and procedures.
- Discharge patients according to company processes and procedures.
**General**
- Report any issue of concern in the ward to the head nurse directly.
- Report any issue of concern of the hospital, such as patient complaints, building or maintenance issues to the hospital manager directly.
- Act as liaison between nurses, physicians and patients by relaying important information.
- Carry out any reasonable task given by Hospital Manager or Case Manager.
- Carry out any task given by Management.
**EXPERIENCE & QUALIFICATIONS**
- Matric and a secretarial or other relevant tertiary qualification.
- 2 years’ experience in similar Medical receptionist role - **Non Negotiable.**:
- Proficient in Microsoft Office ( Word, Excel, Outlook etc.) - **Non Negotiable**.
- Previous Medical Stock control or nursing background.
- Accurate and attention to detail.
- Fully bilingual.
- Good English written and verbal communication.
- Excellent telephone manner with an overall pleasant disposition.
- Ability to be assertive when needed.
- Flexible work style and able to work under pressure.
