Position: Senior Coordinator
Responsibilities
The job spec outlined below will be with the guidance of Business Development Director and will include but is not limited to:
KEY AREAS OF RESPONSIBILITY
Sales Coordination:
- Update the weekly trackers and send to management
- Control of floorplans for each show - with regards to placements
- Ensure floorplans keys, logos, dates and info is always correct
- With the operations team conduct weekly audits with budgets, sales, floorplans and contracts
- Update Sales board for Carol weekly
- Manage and create CAFS when needed
- Assist with comm reports monthly
- Follow up with issued contracts weekly
- Post show update retention analytics document
- Ensure contracts are signed by director and send to accounts for invoicing
Lead generation & Applications:
- With guidance of management assist with lead generation
- Always check salesforce and reps databases before allocating
Salesforce Champion for department:
- Work with Skhu for various reports and databases that need to be generated
- Update SF for Director when needed
- Issue contracts for sales team when needed
- Issue all no charge contracts for creative and marketing team
International Exhibitors Project Management:
- Assist with all VISA requirements for International Exhibitors
- Manage the curation and stand designs of international exhibitors
- Manage pre show lead up to the exhibition with international exhibitors including product information, curation, stand design, freight and any other requirements
- Onsite hall manager for international exhibitors
Sponsorship & Partnerships:
- Assist sales team with presentations and research
- Update contracts and liaise with the compliance manager on any variations
Marketing & PR
- Assist the Director and Marketing Department with all communication to exhibitors and pulling of exhibitor databases
- Manage the exhibitor communication schedule
- Manage RSVPs for all exhibitor events
Logistics: Onsite
- Assisting with services on some of the shows where needed
- Setting up fully functional sales office
- Ensure all sales collateral is printed and packed
Administration:
- It is your responsibility to check that any changes to the floorplan are communicated immediately i.e. advise the rep, exhibitor notified in writing - once go ahead is given by Sales GM, changed in database - and sent to services
- It is imperative to go through the various floor plans 1 month prior to the relevant expo and advise the exhibitor of any floor plans changes
- Answer telephonic enquiries and send information
- Print and take all relevant information/documentation needed by services and sales department for the briefing (eg - floorplans etc)
- Handle any queries from exhibitors regarding exhibitor manual and briefing
- You will be requested to work additional hours from time to time to fulfil deadlines for the exhibitions
- Keep your outlook diary up to date with all external and internal meetings
- Ensure that your outlook diary is shared with your team
- Any problems with Exhibitors / Clients, the Project, or any other complaints made, must be brought to the attention of the Director with immediate effect
