- Maintain accurate and up-to-date financial records, including bookkeeping entries, bank reconciliations, and general ledger maintenance.
- Assist in the preparation of financial statements and reports.
- Process accounts payable and accounts receivable transactions.
- Monitor and reconcile accounts, investigate any discrepancies, and resolve financial issues.
- Prepare and submit invoices to customers, ensuring timely payment.
- Assist with payroll processing, including calculating employee hours, preparing payroll reports, and issuing payroll checks.
- Help with the preparation of budgets and forecasts.
- Collaborate with the finance team to ensure compliance with financial policies, procedures, and regulations.
- Assist in the implementation and maintenance of internal control procedures.
- Support the finance team in audits and other financial assessments.
- Greet and assist visitors, ensuring a professional and welcoming atmosphere.
- Maintain and update filing systems, both electronic and paper, ensuring documents are organized and easily accessible.
- Prepare and modify documents, including letters, memos, reports, and presentations.
- Schedule and coordinate appointments, meetings, and events, including managing calendars and making necessary arrangements.
- Assist with the preparation and distribution of internal and external communications.
- Record and distribute meeting minutes as required.
- Order and maintain office supplies, ensuring adequate stock levels.
- Coordinate and execute administrative projects and initiatives as assigned by management.
- Assist in the onboarding of new employees and maintain personnel records.
- Handle confidential and sensitive information with discretion and professionalism.
- Provide administrative support to various departments and teams, as needed.
- Collaborate with colleagues to support a cohesive and efficient office environment.
**Qualifications**:
- High school diploma or equivalent; associate’s degree in accounting or related field preferred.
- Previous experience in bookkeeping or accounting roles is a plus.
- Knowledge of basic accounting principles and practices.
- Knowledge of relevant financial regulations and compliance requirements is beneficial.
