**POSITION PURPOSE**

Responsible for the management and maintenance of the Centre’s Assets and Management of outsourced Service Providers. Assisting in operations related budgets and maintenance procedures. Ensures that all building grounds and equipment are well maintained and in optimal working condition. All operations are in accordance with the health and safety regulations. Ensures that services purchased are of acceptable quality at the least possible cost. Keep General Manager well informed of significant problems.

**ESSENTIAL FUNCTIONS AND BASIC DUTIES BUT NOT LIMITED TO**:

- Reporting to the General Manger and managing all maintenance related and capital activities within the Centre.
- Timelessly compile monthly operations report for management meetings.
- Attends meetings / functions related to successful operation of the Center.
- Report security incidents to General Manger and Asset Manager.
- Management and control of risks as defined in the Occupational Health and Safety Act.
- Ensures compliance with legal regulations. Complete regular OSH inspections and updates monthly reports as appropriate. Ensures that OSHA requirements are effectively implemented.
- Assisting the GM with the appointment of SLA’s to service providers and annually revise the agreements.
- Establish and control the building’s service report schedule/maintenance register for fire equipment

/aircon/infrared/factor/generators/firepanel/lifts/escalators/transformers/sprinklers/pumphouse/recycl e area and Makrosafe report.
- Establish a roof register and ensure this is updated and maintained regularly.
- Manage and control all the tenant COC’s, building plans, Habitation Certificates, Glazing Certificates.
- Ensuring the tenants service records are up to date with regards to their responsibility on Fire equipment, generators, extractions and aircons and pest control.
- Investigates proposals for maintenance (planned and unplanned) / refurbishments / tenant installation and propose mentioned to GM and Asset Manager.
- Reviews the building grade ongoing and advise CO/Co-owners regarding maintaining the standards within (ie. Structural defects/roof trussers/slabs).
- Monitors of all electrical, water and municipal meters on a monthly basis to ensure that all are in working order.
- Acquire quotes in assisting GM with annual budgets.
- Assists with a five year maintenance plan including allowances for provisions or depreciation where applicable.
- Formulation of Asset Maintenance plan to ensure all Assets are serviced and in good working condition.
- Ensure the Insurance policy and details of the centre is correct and adequate.
- Responsible for the Asset register and ensure all equipment / materials are in order and accounted for with schedule updated on a monthly basis on the first of each month and ready for management pack.
- Provides accurate information on Assets / Operations to General Manager/Asset Manager according to agreed format timelessly.
- Ensures that Assets of the Centre is well looked after and attended to. General maintenance repairs (ie. plumbing, tiling, touch-up painting)
- Obtain competitive quotes and ensure scope of work is the same before submitting to GM/Asset Manager for approval.
- Ensures cost effectiveness and performance of contractors.
- Monthly review and monitoring of all expense as budgeted for, ensure all invoices are received and submitted for payment.
- Controls / schedules / implements regular preventative maintenance in line with budget.
- Controls / oversees new installations. Including: Premises design, liaison with professionals and contractors, obtain Architect approval on layouts (design & signage approval) before signing of acceptance. Prepare all the appropriate documentation, indemnity and house rules are ready for site meetings, meter readings are recorded and photographs taken
- Deals with as well as have interaction with tenants as required and maintain tenant relationships (ie. House rules, signage criteria).
- In conjunction with the GM assists with hand-over and take back of premises ensure we obtain COC’s and do final meter readings. Do Take Back Inspection report.
- Controls all consumables (toilet paper/hand soap/fresheners), tools and stock including an Asset register. Establish a control register for all consumables.
- Weekly site meetings with contracted Service Providers (Gardening, Security, Cleaning, Waste Management, Hygiene services and Pest control). Monitors progress of Objectives set in weekly service providers meetings.
- Monitor tenant dedicated service yard and recycle sections and liaise with them on non conformance.
- Establish and maintain an emergency evacuation plan in accordance with Local Authorities, arrange and co-ordinate an annual fire drill and report back to GM and Asset Manager.
