Job Description - Portfolio Manager
The Portfolio Manager is responsible for ensuring the on-going process of providing information to stakeholders within the properties managed.
Qualification

Liaison with Board of trustees/Directors - Administration
- Responsible for administration and query resolution within the portfolio, as well as the record
- keeping,
- Archiving, and filing for these actions.
- Liaising with different stakeholders including board of trustees/directors owners, tenants, contractors, councils, colleagues, and management
Meetings/Liaison with members
- Schedule and attend **after hours and weekends **Trustee, Annual and Special General Meetings.
- Follow up and resolve all maintenance and insurance-related matters in coordination and cooperation
- Updating system information (WeConnectU and server)
- Attend to CSOS Registrations and Annual Returns
- General management of correspondence (verbal and written)
- Answering telephone calls and attending or directing inquiries
- Drafting of templates (in word and excel)
- Receiving, processing, and finalizing insurance claims (with the assistance of brokers)
- Liaising with trustees, directors, and landlords
- Updating information on the internal office systems
- Preparation of meeting documentation
Insurance and debt collection
- Receiving maintenance / insurance queries from owners/ trustees/ directors
- Obtaining quotes where applicable
- Obtaining approval from relevant stakeholder
- Instructing contractor to commence work as per quote and approval (arranging payment of
- deposit)
- Following upon completion of the job with contractor and relevant stakeholder
- Register insurance claims (with assistance from Broker) and processing thereof (excess payment,\
WeConnectU order, contractor’s liaison, etc.)
- Scanning documentation to the system
- System maintenance: changing owner details as requested etc.
- Take-on procedure for new schemes
- Hand-over procedure in cooperation the Head of Department
- Attending to archive files where relevant
- Updating of Insurance Excel Spreadsheet
- Saving of new policies after renewalLetters/Notices/Administration
- Drafting of Conduct Letters per instruction from PM
- Editing, scanning, and sending of letter/s to owner/s
- Sending of General Notices, circulars, and communication
- Typing of letters, notices, minutes
**Salary**: R10,000.00 - R18,000.00 per month
**Education**:
- High School (matric) (required)
**Experience**:
- property management: 5 years (required)
- sectional title management: 5 years (required)
**Language**:
- English (preferred)
- Afrikaans (preferred)
