The Debtors and Administration Clerk will need to ensure the timely collection of the company’s debtors’ book in order to maximize cashflow of the business, minimize the risk of bad debts and reduce the debtor’s days to an acceptable level. To ensure company policies and procedures are adhered to in respect of the granting of credit to customers and to timeously alert management of potential collection problems.

**Debtors and Administration Clerk Job Duties**:

- Deal with internal queries relating to payments.
- Obtain relevant billing info from internal departments to ensure invoices are generated on time and in line with contractual requirements.
- Ensure all documentation and support is obtained prior to invoicing.
- Maintain debtors’ book within required debtor’s day limits.
- Drive the necessary interdepartmental interaction to ensure any potential delayed payment is resolved within required timelines.
- Prepare bad debt and exchange rate exposure write off documentation.
- Undertake complex reconciliations, and compile documentation for legal action.
- Negotiate re-payment plans.
- Obtain sufficient information to assess the creditworthiness of new and existing customers.
- Reconcile debtors’ book to General Ledger
- Bill for all 3rd party recoveries including Franchisees.
- Ensure ad hoc requests are handled timeously and with minimum errors.
- Creating and maintaining Purchase Orders for the Finance Department
- Liaise with departments e.g. Cinemas, Marketing & Commercial Department and debtors to work efficiently and effectively, to bring outstanding income into the business.
- Ensure receipts for Sales team are reported on a weekly basis so that stats can be updated in a timely manner.
- Review documentation for new vendors
- Create and maintain vendor master data files on SAP and present to Financial Manager for approval.

**Qualifications**:

- Grade 12 / Matric
- Diploma in finance / accounting is essential.

**Experience and Knowledge of**:

- Good working knowledge of SAP
- MS Office
- Min of 5 years relevant experience.
