**Roles and responsibilities**
- Working alongside a project manager to alleviate the administrative burden.
- Typing of minutes of meetings.
- Typing of policies, procedures, sequence and interactions, mandatory procedures, forms and

templates, organisational structures etc.
- Creating presentations on PowerPoint with infographics.
- E-Mail communication to clients on behalf of project managers.
- Ensure billing, scheduling, and project management on behalf of the project manager.
- Creating reports, daily, weekly, monthly for projects.
- General project administration.
- Documenting training needs within the departments to enable the organisation to maintain the

management systems.
- Standardising policies, procedures, forms and templates.
- Typing of recommended processes and procedural improvements.
- Typing risk assessments based on client requirements and standard requirements.
- Observing internal audits and gap analysis audits and compiling audit reports, meeting minutes,

non-conformance reports, and corrective action reports
- Documenting systems
- Assisting with client engagements based on their requirements and the scope of work
- Reporting on all client complaints and satisfaction.
- Observing problem solving techniques and documenting root cause analysis forms.
- Quality assurance - vetting all processes before submission, spelling and grammar.
- Attending meetings with the project managers - internally and externally and documenting action

items
- Maintaining a current and accurate filing system (server and projects filing).
- Utilisations of all project management tools, such as Microsoft Word, Outlook, PowerPoint, Excel,

Access, Visio, etc.
- Performing other related duties as required.

**Minimum Experience & Qualifications Required**:

- Experience in a project coordination/administration role.
- The ability to collaborate with all levels of support services to ensure delivery deadlines

are met.
- Must have Xero experience.
- Using project management tools experience.
- Valid driver’s licence.
- Matric
- Utilisation of IT based Project Skills (Scrum, Agile, Waterfall etc.)
- Knowledge on any Software Program to manage Projects

Ability to commute/relocate:

- Centurion, Gauteng: Reliably commute or planning to relocate before starting work (required)
