**Duties & Responsibilities**
Generic Objectives
- Implement and manage operational requirements in terms of SLA
- Manage day to day operations including scheduling & co-ordination of drivers to ensure all transport requests are met
- Make advance bookings with Superent and Roselux Tours
- Process & co-ordinate accounts and payments of service providers
- Manage & co-ordinate servicing of driver vehicles and maintenance of company vehicles
- Check maintenance & fuel reports for discrepancies and report to Snr Facilities Manager
- Monitor & distribute traffic fines to relevant drivers and ensure timeous payment
- Complete & submit insurance claims
- Monitor when vehicles are due for licence renewal
- Manage the sorting & distribution of mail to & from departments, business etc.
- Motivate staff and handle complaints
- Manage & control timesheets, attendance registers, working hours and overtime according to BCEA
- Coordinate training with HR and Risk & Security
- Discuss and complete role profiles
- Compile & discuss MOS with drivers
- Do annual performance assessments
- Take disciplinary action where and when needed
- Conduct KPI’s with the team
- Compile all operational reports for site
- Process invoices for client billing
- Manage department budget
- Develop and manage safe work practices which are in line with the OHS Act
- Manage Addressograph Reports, Production figures & Information
- Liaise with Clients and Service Providers referring to all Incoming & Outgoing Mail Activities
- Perform other duties when required
- Reporting
- Prepare accurate reports within deadlines, including
- Monthly client report
- Other ad-hoc reports required form time to time
- Policies and Procedures
- Formulate and document policies and procedures for all transport, mail and courier services, utilising the standard TFS methodology, in order to comply with TFS’s ISO requirements
- Staff Management
- Recruit and train transport staff where required
- Manage staff performance and conduct performance appraisals
- Institute disciplinary procedures where required
- Constant Improvement
- Make recommendations regarding improvement in service levels, changes to the way things are done and added value to the client
Site Specific Objectives
- Daily routine collection and delivery of mail, parcels, and goods for the Client site according to schedule
- Reconcile monthly Franking Stats for Client and forward on a spreadsheet to the TMC Co-Ordinator
- ISO 9001; 14001 & 18001 - Quality, Environmental and Health & Safety Standards
- Adhere to the TFS’s Safety, Health, Environmental and Quality (SHEQ) Management System’s Policies & Procedures of as applicable to this position

**Qualifications**
- Minimum Grade 12
- Tertiary qualification would be an advantage
- Experience in the management of transport mail and courier
- Computer Literate
- Familiar with the transport act
- Must be bilingual

- Ability to make rational and sound decisions

- Cost Control Knowledge
- Knowledge of Service Level Agreements
