**Role Overview**
The Debtors Clerk plays a critical role in ensuring accurate and timely management of client accounts, collections, and invoicing. This position supports the financial health of Nexia by maintaining strong client relationships and upholding our commitment to integrity, excellence, and collaboration.
**Key Responsibilities**
- Credit control and collections
- Monitor and manage debtor accounts to ensure timely payments.
- Prepare and review age analysis reports.
- Communicate professionally with clients regarding outstanding balances.
- Implement proactive follow-up strategies to minimise overdue accounts.
- Invoicing & Receipting
- Generate and adjust invoices accurately.
- Ensure invoices comply with statutory and internal requirements.
- Process receipts and allocate payments correctly.
- Prepare monthly statement runs for clients.
- Reconciliations & Reporting
- Perform account reconciliations to maintain accuracy.
- Prepare monthly cashflow forecasts for Management on a weekly basis
- Preparation of the cash collections report
- Assist with preparation of financial reports for management.
- Identify and escalate discrepancies promptly.
- Client Service & Administration
- Respond to client queries with professionalism and efficiency.
- Back-up support to Office Manager with regards to adding new clients to all necessary systems.
- Maintain accurate records and documentation.
- Support statutory invoicing and compliance processes.
- Continuous Improvement
- Contribute to process enhancements for efficiency and accuracy.

**Person Specification**
**Education & Qualifications**
- Matric (essential).
- Advanced credit control certification (advantageous).
**Experience**
- Minimum 3-5 years in a similar role or full-function credit control.
- Experience in reconciliations and age analysis.
- Familiarity with accounting software (Xero experience advantageous).
**Skills & Competencies**
- Strong communication and interpersonal skills.
- Conflict resolution and problem-solving ability.
- Proficient in MS Office (Excel, Outlook).
- High attention to detail and accuracy.
- Ability to work under pressure and meet deadlines.
- Team player with a sense of urgency and accountability.
