The Costing/Warranty Clerk will play a vital role in Hyundai Automotive South Africa's success by adhering to Company and Hyundai Automotive SA's policies in submitting claims on time while maintaining customer confidence in the brand through professional services.

Responsibilities
  • Validate all vehicle data on documentation before input.
  • Review job cards for car shop, paint, and panel costing to ensure accuracy.
  • Verify correct damage codes on all claims to avoid delays.
  • Respond promptly to claim queries and address any concerns.
  • Maintain a secure and organized parts claim store.
  • Ensure warranty parts are correctly tagged and ready for use.
  • Meet deadlines for sending prescribed parts to suppliers.
  • Efficiently process paint shop claims to meet customer expectations.
  • Liaise closely with the HASA warranty claims department to ensure smooth claim processing.
  • Update the back order listing with ordered warranty parts.
  • Follow up with customers and suppliers regarding outstanding warranty back-order parts.
  • E nsure customers return for back-order warranty repairs in a timely manner.
  • Verify vehicle history and previous warranty work to identify potential issues.
  • Confirm that vehicles are within the warranty parameter period to avoid invalid claims.
  • Accurately record mileage on job cards to prevent errors.
  • Ensure Workshop inspection and diagnosis of vehicles to provide accurate estimates.
  • Verify warranty part availability to avoid delays.
  • Accurately record part and part number on warranty claim forms to prevent mistakes.
  • Obtain required authorisation before commencing repairs to ensure compliance with policies.
  • Adhere to the warranty policy at all times to maintain customer trust.
  • Reconcile warranty job cards, invoices, and warranty claim forms to a warranty register for accurate tracking.
  • Submit all warranty claim forms and invoices to HASA within 7 days of repair completion to meet regulatory requirements.
  • Follow up with HASA on received invoices to ensure prompt payment.
  • Cost and invoice job cards immediately upon repair completion to maintain efficient processes.
  • Dispose of failed parts as per the warranty policy and procedures unless instructed otherwise by HASA.
  • Ensure warranty job cards and invoices are signed by customers to confirm acceptance.
  • Maintain warranty filing by chassis number for easy reference.
  • Keep manual reports of warranty parts over 30 days for incentive purposes.
