The successful candidate will be responsible for managing the entire payroll process, including the implementation of the Astrow clock card system and VIP Payroll software. This role involves interacting with various stakeholders, such as employees, managers, and external parties, to ensure accurate and timely processing of payroll-related tasks.
Key Responsibilities:
- Astrow System Administration: Implement and administer the Astrow clock card system, ensuring accurate capture of employee hours and performance of tasks efficiently.
- Overtime and Shift Changes: Approve overtime and shift changes in the Astrow System, maintaining accurate records and resolving any discrepancies.
- Biometric Unit Maintenance: Regularly check and maintain the Biometric Unit - Clock Card Machine to ensure it is functioning correctly.
- Maintenance of Employee Master Data: Ensure accurate employee master data is maintained in the Astrow System, including photos and other essential information.
- Integration and Uploads: Link the Astrow System to VIP Payroll, uploading hours directly into the system for efficient processing.
- Weekly Reviews: Conduct weekly reviews of hours in the Astrow System, resolving queries and ensuring total hours are correct for payroll processing.
- VIP Payroll Administration: Serve as a super user/administrator for VIP Payroll, processing leave, and generating reports at month-end.
- Capture EE & SDL: Accurately capture employees' earnings and SDL in VIP Payroll, ensuring correct deductions and payments.
- Payslips and Invoices: Send out payslips manually and process consultants' invoices through payroll.
- Salary and Benefit Management: Manage salaries and third-party payments through FIHRST, reconciling medical aid, GAP, and other benefits with supplier statements.
- Medical Aid and Provident Fund: Submit Medical Aid and GAP Cover submissions for MEIBC Staff, handle Provident fund recon and statements, and process Provident fund withdrawal documentation.
- Risk Benefit Schedule: Submit monthly Risk Benefit Schedules to Momentum for staff with fixed salaries, manage nomination and beneficiary forms, and handle EMP201 and EMP501 submissions.
- UIF Applications and COIDA IOD/ROE: Handle UIF applications and submissions, submit COIDA IOD and ROE, and conduct HR Inductions for new employees from a payroll perspective.
- Contract Preparation: Prepare new employee contracts and update existing contracts, ensuring adherence to HR policies and procedures.
- Industrial Relations: Handle disciplinary actions using a third-party provider and manage retrenchments, implementing ESS (Electronic payslips & leave submissions).
Requirements and Qualifications:
- Minimum 6 years of experience in payroll administration.
- Diploma in Payroll or related field.
- Strong analytical, problem-solving, and communication skills.
- Experience working with MEIBC and Unions.
- Excellent time management and organizational skills.
- Ability to work independently and as part of a team.
