Job Summary

We are seeking a highly organized and detail-oriented Paralegal Assistant to join our team at The PJD Law Firm. The successful candidate will provide administrative support to our attorneys and assist with various tasks related to legal matters, PA roles, and finance roles.

Key Responsibilities
  • Assist attorneys with drafting correspondence, court- and corporate- documents.
  • Travel to and from clients, sheriff, courts, etc.
  • Liaise with correspondent attorneys.
  • Prepare and type court documents.
  • Manage diaries.
  • Company incorporation, changes, or maintenance on CIPC.
  • Dropping off and collecting children daily.
  • Morning rooibos tea and 2 honey-and-almond rusks for director.
  • Afternoon protein shake with 2 scoops, 100ml of milk, and 500ml of water.
  • Shopping for home and office on Friday's after Director approval.
  • Dry cleaning every second week.
  • Convening meeting with household and staff regarding weekly purchases.
  • Attending to instructed personal errands.
  • Find invoices older than 30 days and call clients to make arrangements.
  • Drafting AOD.
  • Capturing expenses.
  • Drafting invoices monthly.
  • Issue interest invoices.
  • Scan bank account every Monday and allocate payments on Zoho.
  • Draw, assess, and report timesheets each morning.
  • Report to director with timesheet report.
  • Filing purchase and payment receipts.
  • Forwarding banking accounts, receipts, and invoices to accountant monthly.
  • Updating asset register.
  • Liaising with suppliers.
  • Purchase of items and services for the office.
  • Inventory management weekly.
  • Ensure all filing and file notes are done.
  • Daily capacity management. – Conducting debrief sessions.
  • Ensure compliance with MOS by all staff. Highlight via email where this has not been done.
  • Verify compliance and filing of FICA on all matters. FU if necessary.
  • Verify proper completion and signing of with engagement process.
  • Random File audits in terms of this Manual. Any concerns to be reported and resolved ASAP.
  • Ensure compliance with FICA, Companies Act, Annual Returns, LPC annual fees of all professional staff.
  • Risk management.
  • Keep tab of staff birthdays.
  • Keep tab of client birthdays from FICA documents.
  • Arrange meetings and appointments.
Requirements
  • Proficiency in English.
  • Driver's licence.
