Property Administration Controller Lead

We are seeking a highly skilled and experienced Property Administration Controller to join our team at Profile Personnel. This role is ideal for individuals who possess strong leadership abilities, excellent communication skills, and a keen eye for detail.
Key Responsibilities:- Maximise Collections:
- Optimise staff performance to drive revenue growth
- Lead and motivate the team to achieve set goals and objectives
- Ensure team members are working efficiently and accurately
- Set clear, measurable goals and deadlines
- Closely monitor performance and address concerns promptly
- Foster open communication with regular team meetings
In addition to driving collections, this role involves ensuring queries on outstanding balances and short payments are addressed by the relevant Supervisor, following up on balance of payment where necessary.
Tenant Relationships:- Maintain and ensure good relationships with tenants at all times
- Proactively intervene on accounts when necessary
- Escalate problem accounts to management
- Ensure smooth administration of accounts
- Action adjustments on accounts with urgency
- Prepare reconciliations, interest schedules, rates calculations as required
- Engage with tenants directly when needed
- Arrange and attend meetings with high-profile tenants regarding account queries
This role also entails promoting excellent employee relationships, providing job coaching when needed, addressing disputes/conflicts promptly, preparing for succession planning/up-skilling employees, and assisting staff to achieve faster turnaround times and more effective time management.
Billing and Pre-Billing:- Assist in preparing pre-billing rentroll sheets
- Investigate errors and resolve issues promptly
- Deal with VIPS personally until they can be handed over to Supervisors
- Keep respective reconciliations updated
- Facilitate smooth take-on of new tenants
- Update and maintain the system
- Monitor data input by Team to ensure accuracy
- Verify submitted/processed adjustments for validity
- Submit to Property Administration Manager for approval
- Meet regularly with Property Administration Manager via Teams
- General discussion of daily/weekly planning
- Progress reporting for active projects
- Tenant/staffing concerns
- Coordinate with necessary staff and drive project planning/adoption/completion
- Review files to ensure completeness
- Presentation of file to Legal
- Coordinate with Property Administration Manager and Finance Department
- Manage necessary data collation for Annual Audit
- Coordinate with Support Office Leadership Team/Finance Department
- Prepare and finalise Annual Rates Increases
