Job Description:

This role is responsible for providing advanced administrative and coordination support to the Curatorial Department at Icebreaker, a public not-for-profit institution that exhibits, collects, preserves, and researches contemporary art from Africa and its diaspora.

Main Responsibilities:
  1. Office Administration: Ensure the curatorial office is organized and presentable, maintaining and improving current filing and contact database systems. Provide administrative and logistical support to the Curatorial team, acting as a liaison between the Senior Curator, Managing Editor, and other departments.
  2. Project Archive Checklist: When an exhibition/project is completed, ensure everything is filed in a way that future employees can access information. Oversee the master calendar for programming, exhibitions, publishing, and meetings, including coordinating travel, logistics, and artist site visits.
  3. Fellowship Coordination: Coordinate the annual call for applications, setting up online application platforms and reviewing applications to ensure they meet all requirements. Interview candidates to determine their suitability for the position, responding to applicant queries and managing the fellowship email account.
  4. Supporting the Curatorial Team: Manage the administration of the Curatorial Research travel budget, obtaining quotations for flights and accommodation as per organizational procurement guidelines. Book flights and accommodation, prepare subsistence and travel allowance currency, and assist with travel documents for curators where necessary.
Requirements:
  1. Diploma in Secretarial/office management and/or executive administration or equivalent.
  2. Knowledge of Curatorial processes.
  3. 3 years executive personal assistant experience.
  4. 3 years of Museum/Gallery/Art Institution experience.
  5. Fluent in English in business verbal and written language.
  6. A minimum of 3 years' experience in an administrative role in an office environment.
  7. Knowledge of Microsoft Office suite including Outlook.
  8. Knowledge of organizational skills is essential.
  9. Strong attention to detail.
  10. High level of efficiency.
  11. Working independently and taking initiative.
  12. Effective problem-solving skills.
  13. Good time management and scheduling abilities.
  14. Teamwork and collaboration.
  15. Honest and reliable.
  16. Basic bookkeeping and data capturing.

This role requires an individual with knowledge in project management, ability to plan, coordinate, and support with high-level administration. The individual must bring a high standard of work, good work ethic, deadline-driven, with good networking, oral and written communication, and engagement skills. Ability to be resilient and remain calm under pressure.
