About the Role

We are seeking a highly organized and detail-oriented Administrative Support Specialist to join our team at Ann Swann Personnel. As a key member of our support staff, you will provide exceptional administrative assistance to our team, ensuring seamless day-to-day operations.

Key Responsibilities
  • Client and Staff Liaison: Act as the primary point of contact between clients and staff, providing exceptional communication and support.
  • Administrative Tasks: Provide administrative assistance to the team, including sending customer invoices and statements, managing appointments, and maintaining the office filing system.
  • Office Management: Source and procure office supplies, handle service providers and suppliers, and ensure orders are placed and followed up on.
  • Operational Support: Gradually take on more responsibility in supporting operational processes as you settle into the role.

  • Professional Attributes: Professional, well-spoken, and presentable.
  • Organizational Skills: Excellent organizational and problem-solving skills, with strong attention to detail.
  • Time Management: Ability to work under pressure and meet deadlines while maintaining a positive attitude.
  • Technical Skills: Proficiency in Microsoft Office (Word, Excel, Outlook); experience with accounting software like Xero is a bonus.
  • Additional Requirements: Strong numerical skills, ability to handle administrative tasks with efficiency, and a valid driver's license with access to your own transport.

  • Independence and Adaptability: Ability to work independently, manage tasks to completion, and adapt quickly to new systems and processes.
