Job Description

The Corporate Marketing Coordinator is responsible for providing administrative support to our marketing team, assisting in the development and implementation of marketing campaigns, and maintaining accurate records of client interactions.

This dynamic role requires a proactive and results-driven individual who can work effectively in a fast-paced environment. If you have excellent communication skills, a strong attention to detail, and the ability to multitask, we encourage you to apply.

Responsibilities:
  • Bookings for all trades, ensuring timely and efficient processing of client requests;
  • Daily updating of EDI, importing of vessel files three times a day, and downloading into Dinamix;
  • Telesales on a daily basis, cultivating relationships with clients and identifying new business opportunities;
  • Canvassing for both import/export bound cargoes, negotiating freight rates, and managing client expectations;
  • Obtaining KYC documentation, creating new customers on LMS and Dynamics, and ensuring compliance with regulatory requirements;
  • Application for acceptance of hazardous cargo/special equipment and stowage requests, updating LMS addon to obtain DG certificates, and ensuring correct ISO tank types in Dynamics;
  • Application for detention and demurrage requests, monitoring tonnages for each service on a daily basis, and maintaining allocation;
  • Updating export client stats for all trades, monitoring vessels' tonnage on a daily basis, and requesting additional space/tonnage if required;
  • Freight collect shipments – sending emails to respective PODs for acceptance;
  • TDR Reports – month-end reports for all trades due on the 5th of each month;
  • Monthly allocation report for all trades to be sent by the 10th of each month;
  • Negotiating and quoting freight rates upon approval and sending to clients when reps are not in the office;
  • Assisting both import and export clients with queries and transshipment details on both import/export legs;
  • Assisting with submitting surveys for new trades or enquiries;
  • Advising clients of all new increases of rates/BAF/surcharges/LSR/PSS, etc.
  • Assisting with cocktail functions if held in Durban;
  • Calendars/gifts – collating and arranging distribution to all branches & stock take of gifts;
  • General typing and filing;
  • Weekly Tracking for South 32 (Tuesday/Thursday);
  • Preparing Capman/tonnage report daily;
  • Capturing both import and export stats;
  • ASA KPI Report to be done by the 7th of each month or earlier;
  • Month-end Partners TDR to be sent on the 10th of each month;
PA to MD Duties:
  • Assisting the MD with all matters relating to organizational affairs;
  • Applying for petrol cards/cancellation of petrol cards/lost or stolen, reconciling statements at month-end to submit to HR, sending off to all the branches, receiving them back, and filing;
  • Applying for new cell phone contracts, upgrading, reconciling statements at month-end, submitting to HR, and filing;
  • Compiling reports as requested by the MD;
  • Applying for credit cards for staff, sending statements off at month-end to the branches, receiving them back, and filing;
  • Arranging travel, domestic, international flights, accommodation, and car hire for all branches, reconciling travel statements at month-end;
  • Arranging Visas if required;
  • Taking minutes of managers' meetings;
  • Typing of letters, emails;
  • Organising marketing conferences, taking minutes at conferences, arranging gifts/transport, and accommodation;
  • Paying miscellaneous accounts for PIL;
  • Ordering business cards for staff at all branches;
  • Monthly grocery shopping and purchasing milk for the office;
  • Arranging snacks for Office Functions;
  • Ordering office gifts/yearly desk pads & calendars;
  • Assisting the MD with BOD Meeting booklets/taking minutes at BOD Meetings;
  • Compiling and submitting subsistence reports to HR for any local/overseas travel by staff monthly;
  • Sending out upcoming Public Holidays to advise SGP & Regional Office;
  • Preparing petrol limit reports on a monthly basis.
