Administrative Support Specialist for International Airport Operations

About the Role
This part-time or full-time position offers the opportunity to provide essential administrative support for our team using Access Dimensions software, specifically for Lounge and Non-Lounge activities. The successful candidate will ensure smooth processing of invoices, reconciliations, and settlements, maintaining effective communication with both internal and external stakeholders.
Key Responsibilities
The ideal candidate will be responsible for:
- Lounge Invoice Processing: Capture daily lounge-related correspondence (invoices, queries, etc.) received via Freshdesk in the Lounge Tracker, process lounge invoices efficiently, validate lounge invoices against visit reports, and resolve queries with stakeholders amicably.
- Supplier Reconciliation: Assist with timely reconciliation of lounge accounts to ensure accuracy and alignment.
- Supplier Settlement: Aid in the preparation of payment files, ensuring that payment merges are accurate, and suppliers receive remittance advice for each respective payment made.
- Cashflow Management: Contribute to cash flow management by updating the Lounge Tracker and processing invoices promptly.
- Aging and Accruals: Provide necessary inputs and comments on aging invoices and offer insights and comments on unprocessed invoices as part of the accruals process.
- Stakeholder Management: Collaborate with both internal and external stakeholders to resolve queries, maintaining a professional and cooperative relationship.
Requirements and Qualifications
To succeed in this role, you should have:
- Fluency in Chinese is essential.
- A Matric qualification or higher.
- Strong organizational skills, attention to detail, and the ability to manage multiple tasks efficiently.
- Excellent communication and interpersonal skills for liaising with diverse stakeholders.
- Experience with Access Dimensions and Freshdesk (or similar tools) is advantageous.
Location and Salary
This role is based in South Africa, and the salary for this position is approximately R250,000 - R350,000 per annum, depending on experience. We offer a fully remote working arrangement, and training and onboarding will take place in-office.
