Job Title: Site Management Officer

Level-Up is hiring a skilled Site Management Officer to oversee the smooth execution of our projects. This role involves ensuring compliance with health and safety regulations, managing site access arrangements, and coordinating subcontractor activities.

Responsibilities

  • Ensuring compliance with health and safety regulations on site for both subcontractors and internal staff.
  • Collaborating with the health and safety team to implement proper protocols.
  • Assisting in conducting H&S audits and reporting.

Site Access Management

The Site Management Officer will oversee site access arrangements for subcontractors and internal team members, ensuring all personnel have necessary clearance, permits, and safety requirements.

Subcontractor Management

  • Coordinating subcontractor activities to meet project timelines and scope.
  • Maintaining communication with subcontractors to ensure task completion according to project requirements.
  • Monitoring subcontractor performance and addressing any issues promptly.

FAC Management

  • Oversight of the Facilities Acceptance Certificate (FAC) process, ensuring documentation is in place.
  • Compiling and managing relevant FAC documentation and reports with the internal team.
  • Ensuring project aspects meet required standards before FAC submission and approval.

Delivery Notes

  • Generating and tracking delivery notes for inbound and outbound materials, aligning with project requirements.
  • Ensuring delivery notes match purchase orders and contracts, properly filed and accessible.
  • Managing supplier relationships, resolving issues related to product delivery, quality, or quantity.

Scheduling

  • Planning transportation schedules for timely delivery of materials, equipment, and staff to project sites.
  • Optimizing transport routes and schedules with logistics teams, ensuring cost-efficiency and timely arrivals.
  • Monitoring and tracking transport logistics, resolving delays or issues as they arise.

Training

  • Coordinating training sessions for internal teams and subcontractors, meeting project requirements.
  • Ensuring training materials are prepared and compliance tracked and documented.
  • Arranging training sessions with providers, meeting project requirements and timelines.

Qualifications and Skills

  • Proven experience in project administration, logistics, or a related field.
  • Strong organizational skills with multiple task management abilities.
  • Familiarity with subcontractor management and project site coordination.
  • Knowledge of health and safety regulations and practices.
  • Experience with delivery note generation, supplier management, and scheduling processes.
  • Excellent communication skills and interaction ability with stakeholders.
  • Proficiency with Microsoft Office Suite or similar office software.
  • Ability to work under pressure in a fast-paced environment.
