Responsibilities
  • Develop and manage a comprehensive document movement plan.
  • Assess the current data management environment and create an assessment report and roadmap towards a unified system.
  • Design and review applicable data management policies, processes, and procedures for approval.
  • Identify, develop, and inform electronic data management system requirements and development based on overall organisational needs.
  • Classify data according to indexing methods and protocols.
  • Establish an on-site filing room system and resources.
  • Communicate data management policies, processes, and procedures to staff across departments and branches.
  • Develop and implement a change management process.
  • Monitor and report on implementation of data management policies, processes, and procedures.
  • Participate in wide records-led initiatives (meetings, special projects).
  • Capacitate each department with relevant tools and skills for maintaining records in each area.
  • Instruct department staff on procedures for retrieving records from Storage Facilities and accessing records held by Archives Facility, providing advice when needed.
  • Review Records Transfer Lists for accuracy and completeness before signing and transmitting to Storage Facilities.
  • Return corrected lists to transferring departments as required.
  • Send complete and accurate lists to Storage Facilities.
  • Assist in resolving problems with the transfer process by communicating with responsible staff in department areas and with Storage Facilities.
  • Receive copies of Transfer Lists after records have been transferred and distribute to appropriate departments for easy retrieval.
  • Assist in tracking, locating, and retrieving records by maintaining a central set of Transfer Lists or data.
  • Create and maintain effective relationships with departments to obtain necessary information.
  • Collect and categorise information according to set specifications.
  • Oversee management of electronic and paper-based information to ensure compliance.
  • Convert data from paper to electronic forms.
  • Ensure all data is adequately protected from internal and external threats.
  • Classify data according to indexing methods and protocols.
  • Ensure quality control within data management processes.
  • Create and maintain reports on data management processes, resources, and activities.
  • Ensure skills transfer and capacity building of IT and Records resources for sustainability of processes.

RequirementsEssential Skills and Qualifications: Relevant certification/qualification in data/document management field, more than 5 years of data management experience.

Estimated Salary: R250,000 per annum.
Bonus Structure: negotiable.
