About the Supply Chain Coordinator position

As a Supply Chain Coordinator, your primary responsibility will be to oversee and manage the efficient movement of goods from the warehouse to their final destination, ensuring timely delivery and adherence to quality standards.

You will play a crucial role in maintaining smooth operations within the supply chain department.

The key responsibilities of a Supply Chain Coordinator are:

Supply Chain Planning and Execution

  1. Determine where the stock needs to be stored, taking into account where the shipment is going to (site, customer, or supplier), what type of stock order is being sent (customer order or replacement, inter-company transfer order, local order, or international order) and what the destination of the stock is intended for.

  2. Plan and organize the dispatch schedule for the following day by liaising with the fulfilment team to determine what is expected to come through for the day.

Order Fulfilment and Processing

  1. Verify that the stock physically picked is relating to the picking slip (quantity and specific SKU) and that the stock needs to be in a saleable condition.

  2. Depending on the type of order (customer order, returns, or inter-company transfer), it is imperative to undertake the requisite actions to uphold the Service Level Agreement (SLA). If the item(s) on the pick slip align with the prescribed criteria of correct quantity, SKU, and quality, invoicing is warranted in accordance with the SLA.

Packaging and Shipping

  1. Items to be packaged in a manner to reduce damages during storage and transport. It should also be presentable as not to tarnish the company's image.
  2. All loose items that do not have a label should be labelled as per standard operating procedures.

Dispatch Coordination and Scheduling

  1. Scrutinise each delivery to ensure that the delivery address and contact person/number is correct. Should anything be wrong, report it to the originating salesperson to correct before attempting delivery.
  2. Allocate resources effectively to meet delivery timelines.
  3. Communicate with drivers and couriers to ensure timely departures.
  4. All proof of deliveries (PODs) of the previous day to be scanned on system before close of business.

Housekeeping and Maintenance

  1. Floor and workstations are to be kept neat, clean, and tidy at all times.

  2. All stock should be kept within their agreed storage areas. Inventory found outside of a location must be allocated to the correct location, making use of the stock-on-hand (SOH) with inventory detail to determine where the stock needs to go. Before physically moving it to the location, inform the inventory controller of your action and obtain approval from them.

  3. All equipment should be kept clean and in a condition that is conducive for the working area. Establish and review allocated intermediary storage locations to promote increased inventory accuracy.

  4. Identify workplace safety hazards and ensure that the area is being kept in a manner to promote a culture of health and safety.

The ideal candidate for this position will possess:

  • A matric/NQF4 qualification

  • 2+ years' warehousing experience

  • 2+ years administration experience

  • Ability to cope under high levels of pressure and fast-moving environments.

  • Attention to detail and problem-solving abilities.

  • Ability to lift and move heavy materials when necessary.

  • Strong organizational and communication skills.

  • Familiarity with inventory management software and tools.

  • Monitoring/Assessing performance of yourself, other individuals, or organizations to make improvements or take corrective action.

  • Quality control analysis - conducting inspections of products, services, or processes to evaluate quality or performance.

  • Basic IT skills, including experience with databases, e.g. MS Office and Netsuite an advantage.
