**Job Summary:** We are seeking a highly organized and detail-oriented Project Administrator to join our team at HandPicked Recruitment. The successful candidate will be responsible for providing administrative support to our project team, ensuring the smooth execution of projects from start to finish.

Key Responsibilities:

  • Quotation and Fee Management: Compile and update quotations and fee drawdowns, ensuring accuracy and compliance with company policies.
  • Project Documentation: Prepare baseline risk assessments, specifications, mandatory agreements, and contractor appointments, maintaining up-to-date records and files.
  • Permit Applications: Accurately submit construction work permit applications, meeting deadlines and regulatory requirements.
  • Quote Management: Create quotes and manage fee drawdowns using the workflow system, ensuring timely and efficient processing.
  • Information Management: Capture and maintain information on specification/risk assessment and permit control sheets, ensuring data accuracy and accessibility.
  • Communication: Maintain and update distribution lists on the Application system, facilitating effective communication among team members and stakeholders.

Requirements:

  • High school diploma or equivalent required; degree in a related field preferred.
  • Minimum 2 years of experience in a similar role, preferably in the construction or project management industry.
  • Excellent organizational and time management skills, with ability to prioritize tasks and meet deadlines.
  • Strong communication and interpersonal skills, with ability to work effectively with team members and stakeholders.
  • Proficiency in Microsoft Office and other relevant software applications.
