**Executive PA to Directors**

**Job Overview**:To provide high level confidential support to the Directors by providing a full- secretarial and administrative service to their entire portfolio (business + personal)- Ensuring that effective planning and administrative systems are in place and maintained efficiently and effectively. With experience (5+ years) and high level of confidentiality is crucial.**Key Responsibilities**:

- To function as a first point of contact dealing with correspondence and phone calls.- To proactively manage and coordinate the diary of the Directors by prioritising and arranging internal and external meetings, ensuring appropriate briefing papers are prepared and provided.- Reminding the Directors of important business tasks and deadlines (business and personal e.g., cards expiring and allowing time in their diaries to execute tasks)- Organising the Directors personal commitments (inclusive of payment of bills, scheduling of maintenance, arranging deliveries, doctors’ appointments, medical aid claims, reminders of pet vaccinations etc.)- Full administrative duties of Director’s property management (inclusive of invoicing, collecting rent, account reconciliations, follow-ups, contract maintenance, arranging maintenance services, tenant queries management etc.)- Plan and organise travel and accommodation when required.-
- To provide full personal assistant support by dealing with all correspondence and calls, drafting routine letters to a high standard, minute meetings, taking messages and other administrative tasks as required to support the Directors.- To provide support to Director meetings by ensuring meetings are properly arranged and serviced. This will include drafting agendas, collating papers and presentations, and reports, taking minutes and following up action points.- To plan and ensure key organisational events are scheduled timeously in the Directors diaries, to ensure organisational goals and strategies are met, such as One Team meetings, Performance Reviews, Review of annual increases, Quarterly Management meetings etc.- Participate and contribute to organisational/team meetings as required.- Undertake any other appropriate duties as required to support the Directors to enable them to fulfil their role.- Perform all the duties with complete discretion and a high regard for confidentiality.- Any other duties relevant to the needs of the organisation and as directed.**Attributes**:
