The warehouse supervisor is responsible for the leadership and building of a high-performance warehouse team to ensure a high standard of efficient warehouse operations. These responsibilities include safety compliance, security, management of the building, inventory, customer services, customer collection and vehicle deliveries.

Warehouse Supervisor Responsibilities

1. General
- The warehouse supervisor needs to identify areas for improvement and with the approval of the branch manager adjust existing work procedures to improve the warehouse operations and reduce costs.
- The warehouse supervisor needs to confer and coordinate activities with other branches to ensure effective warehouse operations.

2. Safety
- Maintain a safe working environment to best practice to prevent accidents and injuries.
- Ensure new employees receive basic safety induction training.
- Ensure housekeeping is performed daily to meet the required standard.
- Ensure compliance with the Occupational Health and Safety Act.
- Ensure all machine operator licenses are valid.
- Ensure all motorised equipment is operated in accordance with the set safety standards.
- Ensure forklift and vehicle checklists are completed daily, signed off and filed.
- Ensure any reported maintenance problems are dealt with the necessary priorities.
- Ensure all employees are provided with and wear Personal Protective Equipment (PPE)
- Ensure all employees act in accordance with all safety policies and procedures.
- Ensure fire equipment is not obstructed, ready for emergencies and serviced according to
- the required standard.
- Schedules and execute toolbox talk and reporting of such, according to company standards.
- Ensure compliance with other relevant safety standards, such as emergency evacuation
- procedure, safety signage, first aid boxes, safety meetings.

3. Building structure;
- Report all building related problems to the branch manager. Possible problems include:

- Damage to walls
- Leaking roofs
- Electrical
- Plumbing
- Follow up with appointed repair contractors on the agreed scope of work.
- Ensure repair work is performed to the required standard.
- Keep track of reported problems with possible long-term solution
- Solutions to building problems that have the potential to cause harm to people or result in a huge financial loss for the company, must receive the highest priority.

4. Staff;
- Lead and supervise all warehouse staff members.
- Ensure regular performance evaluation of warehouse staff members performance.
- Schedule and assign tasks to warehouse staff members to ensure smooth operations, which include meeting customers’ expectations.
- Providing guidance, coaching and support
- Ensure warehouse staff members are neat and tidy in representing the company.
- Every morning ensure warehouse staff members are sober and fit for duty.
- Competent to deal with basic disciplinary issues to final written warning level.

5. Customers;
- Ensure the warehouse team contribute to a great customer experience.
- Ensure customers are treated with the highest level of respect and professionalism.
- Ensure timely and accurate order picking and loading for customers and warehouse transfers.

6. Stock;
- Perform continuous visual inspection of product to ensure the required fit for purpose quality
- standard is met. Deal with non-conforming products immediately.
- Check product loaded matches delivery note to customers.
- Ensure all documents are signed.
- Plan and pack warehouse inventory to ensure efficient operations and limit inventory
- damages to a minimum.
- Ensure stock is handled in a proper and safe manner to ensure mínimal damages.
- Prepare monthly stock adjustment to remove damaged product that cannot be sold to customers.
- Prepare and submit weekly cycle / revolving counts to branch manager on time. After investigations of discrepancies prepare stock adjustment where decision making is affected.
- Ensure regular stock rotation.
- Ensure all stock is properly labelled / identified.
- Ensure accurate receiving of stock, from both internal and external suppliers. Ensure correct documentation GRN, black book, Supplier’s delivery note or internal transfer document.
- Ensure damaged and shortages are properly endorsed on the supplier’s delivery note.
- Accept and Process product returns from customers for credit. Ensure inventory returns are
- NOT damaged. Ensure GRV is accurately completed. Match credit notes to returned product from customers.
- Daily checking and correcting of negative stock items.
- Assist branch manager with stock targets to ensure high level of inventory availability for customers. Ensure branch targets are maintained by replenishing from other branches (if necessary), as well as replenishing other branches with over stocked items, thereby, assisting in the maintenance of their stock targets.

7. Logistics;
- Ensure fast, safe, and efficient loading of delivery vehicles.
