Exports Operations Coordinator

1. **PRIMARY PURPOSE OF THE JOB**
Co-ordinate and manage day to day operations of Power Equipment department
2. **MAJOR TASK HEADINGS** (High level Key Performance Areas/Outputs. What do you do every day/month; what are you measured on?)
1. Invoicing
3. Reports
4. Budgets
5. Placing production orders
6. Queries from Customer or Dealer
7. Checking Purchase Contracts from factories
8. Creating Purchase Contracts to Dealers
9. Creating and send Proforma invoices to clients
10.Specific reporting or information during the month
**3.** **DETAILED DESCRIPTION OF TASKS **(Breakdown of major tasks into sub-tasks)
3.1 Daily invoicing of DLR/OEM/Marine or SADC orders (Out of stock)
Invoicing of direct shipment orders t(Container orders) Monthly
Load on systems to request credit check and order no. for warehouse
If order is released - Request serial no from warehouse
Create order form to attach to dealer order for signature
3.2 Monthly Update Report with actual sales, stock and arrivals
Update direct shipment orders from forecast to Actual (Monthly)
3.3 Reports: Sales report, back order report, ageing stock report, SADC sales report, Reports on new models, Report by dealer
3.4 Budgets
Creating new formulas for units and financial, Consolidation sheets by product model, by month
Updating with new pricing from factory
Input Sheet
Budget reports from BA department after input sheet is approved
3.5 Placing production orders
Creating orders
Creating an order sheet to send to factory with order no.
Creating orders for stock and direct shipment of stock
3.6 Queries
Handle Telephonic queries for pricing and stock availability or arrivals
Logistics - Confirmation on when the order was invoiced and when will our courier company deliver
Directing customers to correct dealers in their areas
3.7Checking PC from factories
Check pricing from factory
Check If correct models are ordered
Check QTY
Take copies to shipping department to arrange for correct deliveries
Update dealer everytime we receive shipping schedules(weekly)
3.10 Random reports during month
4.**TECHNICAL** **COMPETENCY REQUIREMENTS **(e.g. skills, knowledge of the working environment that will help you to carry out your job at a technical level)
- Previous experience working on Export and Stock Order systems
- Strong Excel
- MS Office
**5.BEHAVIORAL COMPETENCY REQUIREMENTS **(e.g.soft skills required to carry out your work effectively)
1. Good communication skills(communicate to dealer, customers, factories, area managers, other associates, warehouse associates on a daily basis)
2. Deadline driven (Fast and accurate)
