The successful incumbent will report to the relevant Director/s.
- General office administration & support to the relevant Director (s), including diary management, producing documents and presentations - Powerpoint, Excel Spreadsheets, maintaining files and record-keeping, ordering office supplies and attending to enquiries.
- Extensive diary management;
- Ensuring all calls are filtered before going to Director/s;
- Typing of correspondence, formulating documents
- Preparation of presentations;
- Ordering of stationery and control of stationery;
- Manage petty cash;
- Extensive travel bookings - local and international;
- Requisition and co-ordinate travel arrangements and ensure well-arranged and cost-effective travel solutions by liaising with travel agents, monitoring cost, collating and disseminating required documentation, issuing or acquiring letters of invitation and arranging VISAs when necessary.
- Compile and co-ordinate itineraries for visiting executives and other VIP guests.
- Arrange high-level meetings, conferencing and events, including sourcing external suppliers and end-to-end co-ordination in order to meet business objectives as directed by manager (s).
- Create Purchase requisitions for PO creation, ensuring correct account assignments and business policies are strictly adhered to.
- Processing of invoices via Goods Receipt on SAP for timeous payment to vendors, ensuring invoices correlate back to PO, with accurate proof of performance
- Compliance to strict business policies applied to various SAP operations
- Reconciliation of vendors statement of accounts against payments loaded on SAP
- Coordination of Regional Accruals on a monthly basis, providing support to Cost Centre owners for accurate submissions
- Ad Hoc budget support requests
- Reconciliation of travel requisitions back to actual invoices received

**Qualifications & Experience**
- Matric. A post-matric qualification in office administration and / or secretarial or similar is preferential.
- 6 Years’ experience in a similar role involving planning, coordinating and support functions, including interaction with senior management
- MS Office proficiency
- Experienced SAP user
