PURPOSE
To achieve operational excellence within the Outbound Department incorporating functions in the following areas: order consolidation, route planning, despatch both local and line-haul orders, co-ordinate product returns and in so doing ensure that customer requirements and company objectives and service levels are met.
SPAN OF CONTROL
This role is responsible for all Outbound Dispatching processes, collaborating with other team members as well as the Department Manager.
KEY ACCOUNTABILITIES & OUTPUTS
- Responsible for the efficient and safe scheduling/execution for the company’s logistics and dispatch objectives.
- Supervising the daily activities and staff effectively, resulting in continuous improved service levels to internal and external customers and achieving optimum labour utilisation.
- Participating and co-ordinating of audits as and when required.
- Ensure that the DC is always in a highly presentable state and audit ready.
- Spending adequate time on the floor as part of supervising the day-to-day activities of the despatch.
- Ensure customer satisfaction through professional and on time deliveries.
- Communicate with customers and sales representatives regarding freight details, delivery times and special handling requests.
- Understand and execute the planning process involved when stock leaves the distribution centre.
- Ensure routing of vehicles to ensure optimum utilisation and vehicle turnaround times.
- Ensure all deliveries picked the previous day, are delivered the next day to local customers and within 48hrs to coastal customers
- Arrange returns and collections of upliftment’s, which must be tracked throughout the return process.
- Implementation of more efficient means of streamlining the distribution process.
- Ensure accurate administration for transaction excellence.
- Manage and adhere to SHE programmes and OHS act.
- Ensure department’s consumable needs are met.
- Ensure transporters are debriefed, paperwork is filled, and queries resolved.
- Ensure admin and daily checking of all delivery log sheets takes place to facilitate queries and credit note requests.
- Monitor transportation running costs including forklifts.
- Managing risk control, ensure security, safety, and good housekeeping
- Monitor forklift driver performance to ensure good customer service both internally and externally.
- Prevent and act on all security or risk issues and ensure that risks are dealt with proactively.
- Assist the department manager in supervising outsourced companies, including daily and monthly monitoring of SLA’s and costs.
- Be security conscious at all times.
DUTIES
Ensure warehouse work planning is created and allocated to outbound controllers
Follow progress of work through day
Administer all work and load transactions on D365
Liaise with Customer Care on Sales Order queries
Plan vehicle requirements in the day and coordinate with transport providers
Ensure daily loads are reconciled before vehicles leave premises
Monitor order book to ensure a high delivery rate is achieved

- Ensure housekeeping is kept to 5S standards.
**REQUIREMENTS**:
Knowledge and skill
- Grade 12
- National diploma in logisticsc/ Supply Chain management or equivalent.
- Min 3yrs previous experience in a despatch /warehouse environment
- Knowledge of distribution centre, logistics and supply chain operations
- Customer service orientated
- Attention to detail
- Ability to work independently and under pressure
- Good interpersonal skills
- Excellent planning, organising and decision-making skills
- Excellent verbal and written communication skills
- Computer literacy

QUALIFICATIONS
- Grade 12 / Matric / Logistics or Supply Chain qualification
- Computer Literate on ERP systems
- Minimum 3 years relevant logistics and warehouse experience in a similar role within a relevant industry.
