Premises Officer

_**Job Purpose**:_
The Premises Officer will support the Chief Financial Officer in the running of the two school sites and will be responsible for the security, maintenance, and overall management of the school’s buildings, grounds, and facilities. They ensure that the school premises are safe, secure, and maintained to a high standard, providing an optimal learning environment for students and staff.
**Key Responsibilities**:
**1. Security**
- Maintain the security of the two school campuses as the main key holder.
- Responsibility for ensuring the opening and closing routines and associated staffing requirements are met.
- At the end of the day, ensure the security of the two-school premises by securing all windows, entrances and exits; this includes out of school hours when necessary
- Carry out regular security checks, ensuring monitoring systems are in place and that these are serviced and maintained regularly.
- Take responsibility for key-suiting across both premises; ensuring keys are clearly organized and available.
- Act as the first point of contact for emergency services and respond to emergency callouts as necessary.
- Monitor CCTV and security systems and respond appropriately to alarms and incidents.
- Carry out regular checks of locks, security gates and perimeter fencing, and ensure any necessary repairs are carried out.
- Point of contact for on-site security personnel and management of the school’s third-party security contractor.
**2. Maintenance and Repairs**
- Conduct daily inspections of the school premises to identify maintenance needs and carry out non-specialist minor repairs (e.g., plumbing, electrical work, carpentry, painting).
- Coordinate and supervise external contractors for major repairs, maintenance, or improvement projects in accordance with the school’s procurement procedures.
- Ensure heating, lighting, and plumbing systems are in working order.
- Keep fixtures, fittings and furniture in a good state of repair and notify the Chief Financial Officer of any required replacement.
- Maintain school grounds, including landscaping, playground equipment, and outdoor areas, ensuring they are clean, safe, and presentable.
- Generate and maintain a Planned Preventative Maintenance (PPM) schedule, to include decoration and refurbishment.
- Maintain accurate records of all maintenance work, inspections, and servicing.
**3. Cleaning and Waste Management**
- Monitoring of the cleaning and grounds maintenance contracts to a high standard.
- Supervision of the cleaning staff to ensure the school’s internal and outdoor areas are always kept clean and hygienic.
- Arrange for annual deep cleaning of classrooms, staffrooms, kitchen, dining areas (canteen) and other frequently used spaces on school premises.
- Arrange cleaning tasks, when necessary, particularly in emergencies or during school events.
- Manage the school's waste disposal processes, including recycling and ensuring proper disposal of hazardous materials.
**4. Facilities Management**
- Set up rooms and areas for school events, assemblies, and other activities as required (e.g., arranging seating, audio-visual equipment, and other materials).
- Manage the school’s inventory of cleaning supplies, tools, and maintenance equipment.
- Assist the Chief Financial Officer to maintain the school’s non-IT related asset register and asset management plan.
- Ensure that the premises and grounds are free from hazards and potential risks to health and safety.
- Monitor energy usage and recommend measures to improve efficiency and reduce costs.
- Accept deliveries of materials and other goods and ensure proper storage.
- Work hand in hand with IT officer.
**5. Health & Safety Compliance**
- Ensure compliance with all relevant legislation, including fire safety, building regulations, and health and safety policies.
- Conducting regular risk assessments of the school premises and maintaining records of such inspections.
- Maintain records and ensure that dangerous substances (including cleaning materials), and equipment are used and stored safely on the school premises.
- Carry out and record regular health and safety checks in relation to legionella risk, play equipment, safety equipment, and any other hazards on school premises, and immediately report any problems.
- Responsible for accurate and timely record keeping and reporting of weekly and monthly checks of fire alarm and emergency lighting tests and ensure fire exits are kept clear and operational. Ensure that all fire-fighting equipment is correctly located, tested and results recorded, as regulations require.
- Ensure the correct signs are on display e.g. exit, first aid etc.
**6. Management, Communication and Reporting**
- Keeping accurate records, ensuring that they are available for inspection and able to provide statistical and other returns, as required.
