**Purpose**:
To provide effective and seamless administrative support to the Protective Service Department.

**Main Responsibilities (not limited to)**:

- Co-ordinate day-to-day operation of the department by providing a secretarial and administrative support service to the Head of Department, Security Operation Manger and ETD Practitioner.
- Record and update attendance of the PSD employees on time and attendance system, ensure correct leave balances, shift and overtime worked is processed by payroll closing date.
- Liaise with internal and external stakeholders on behalf of the department to ensure efficient and effective co-ordination of PSD activities.
- Take and record minutes at departmental meetings and distribute to relevant stakeholders.
- Procure and ensure availability of non-stock and stock items for the PSD department on JDE system, including management of the PSD store, ordering and storage of uniforms/equipment for the department.
- Capture the attendance stats of visitors/contractors and staff on a weekly basis.
- Provide administrative assistance to the coordination of visitors/contractors and vetting.
- Ensure all departmental filing is kept up to date, safekeeping of records and seamless access to information including external and internal audit findings.
- Comply with safety regulations, procedures and standards by identifying hazards associated with assigned tasks and escalate identified hazards to the line manage.
- Perform ad-hoc duties as and when requested.

**Requirements**:

- Grade 12
- Office Administration Certificate / Diploma
- 1 - 2 years administrative experience
