A growing flexible packaging specialist business which offers high-quality printed flexible packaging, printed to meet each customer’s precise specifications has an urgent vacancy for a payroll clerk.

Operational since 1995 and is driven by a passionate and motivated team of over 160 staff, who are all inspired by opportunities to surpass client expectations and foster lasting relationships. Packaging World is BRC (Global British Retail Consortium) certified.

Our head office with manufacturing, warehousing and distribution is based in Pinetown at a 7000m² site. The manufacturing processes include flexographic printing, lamination, laser perforation, slitting, pouching and bag making. Hence we are a leading supplier of plain, printed, laminated and anti-mist reels and bags / pouches (flat, gusset, rotisserie, zipper and vacuum) to local and international food and medical industries.

**Duties and Responsibilities**

**PAYROLL**

1.1. Gather and process data for monthly payroll (which includes timesheets, leave forms, new appointments, transfers, terminations, overtime etc.)

1.2. Administration of compensation and benefits (sick pay, maternity pay, death benefits, UIF, funeral policy, provident fund)

1.3. Ensure accurate and timeous submission of PAYE, UIF, SDL and Union fee Payments

1.4. Calculating payable hours, commissions, bonuses, taxes, and deductions.

1.5. Processing new employees, promotions, and terminations including supporting documents

1.6. Update and maintain internal database with employee, casuals and contractor information

1.7. Complete UIF documentation for all staff

1.8. Investigating and resolving payroll discrepancies and queries (which includes SARS queries, leave and wages/salary administration queries etc.)

1.9. Assist with payroll related tax and financial year end procedures

1.10. Assist with monthly balancing of salary reconciliations and commission reports

1.11. Managing special situations like maternity or sickness pay

1.12. Maintaining all payroll operations according to company policies and procedures

1.13. Manage staff attendance records and absenteeism monitoring system including

1.14. Assist with maintenance of personnel files system and records

1.15. Manage and maintain electronic employees’ databases / Staff Lists

1.16. Issue payslips to employees / HOD’s.

1.17. Preparing periodic payroll reports.

1.18. Assist with Employment Equity and Skills plan

**TIME ATTENDANCE AND CLOCKING**

2.1. Keep up to date clocking times

2.2. Enroll new employees on biometric clocking system

2.3. Maintain shift parameters

2.4. Amend employee shift patterns

2.5. Capture irregular clocking times

2.6. Meet daily with supervisors to verify clocking times of staff

2.7. Report and trend late and absent employees to Department

2.8. Update final clocking reports after Department Manager authorisation

2.9. Export final clocking times into the payroll

**ADMINISTRATION**

3.1. Provides weekly wage and overtime actual vs budget report

3.2. Compensation reports, salary reports, paid time off reports, overtime compensation reports

3.3. Turnover and retention reports - who is leaving and why

3.4. Attendance and absence reports - how much absence is taking place, when it is taking place, and what is causing it.

3.5. Head count report - current employee count

3.6. Time attendance report

3.7. Employee information reports

3.8. Leave reports and attendance register

**Qualifications**
- Grade 12 (Matric)
- Proficient in payroll software
- High level of computer literacy (Excel, MS word, Power Point).
- Minimum of 3 years in payroll administration

**Skill and Knowledge Requirements**
- Accurate data entry skills with great attention to detail
- Excellent communication skills, both verbal and written, to communicate with employees regarding their issues and concerns
- Strong math and communication skills.
- Solid knowledge of payroll principles, processes and procedures
- Detailed knowledge of statutory requirements i.e. PAYE, UIF, SDL, COIDA
- Ability to multitask in a stressful environment with specific deadlines
- Ability to work independently in a time-sensitive environment
- Confidentiality and respect for the privacy of employee records
- Ability to devise and implement best practise processes, systems & documentation and daily management to ensure compliance/fully functional & operating at all times
- Good numeracy and literacy acumen
- Good time management skills
- Ability to establish and maintain effective working relationship
- Ensure department is fully compliant with BRC requirements
