Operations Analyst

As an Operations Analyst, your role will be central to enhancing our

operational effectiveness. You'll manage invoicing and billing, oversee project management, and implement improvements across our knowledge sharing, communication systems and operational security.

Your expertise in AI automation, data analysis, and knowledge management will be vital in

driving operational efficiency and supporting our team's success.

**Key Responsibilities**:
1. Invoicing and Billing Management:
○ Handle invoicing and billing for consulting projects, ensuring accuracy and

timeliness.

○ Resolve any discrepancies and maintain clear records of billing activities.

2. Project Management:
○ Manage projects for consulting and research teams, tracking milestones and

workloads.

○ Implement AI automation to enhance efficiency and streamline processes.

3. Communication System Improvements:
○ Optimize Slack and Telegram communications through automation and bots.

○ Implement tools and strategies to improve team collaboration and information

flow.

4. Employee Onboarding and Offboarding:
○ Coordinate the onboarding process for new hires, ensuring a smooth integration

into the team.

○ Manage offboarding procedures for departing employees, maintaining

operational continuity.

5. Operations Security:
○ Oversee operational security measures to protect company data and assets.

○ Implement and monitor security protocols and best practices.

6. Software and Account Administration:
○ Act as the administrator for company accounts and software tools.

○ Manage access rights, subscriptions, and troubleshoot issues.

7. Business Review Dashboards and Reporting:
○ Develop dashboards for weekly business reviews, identifying key metrics and

improvement areas.

○ Analyze and report data trends to management.

8. Knowledge Management with Notion:
○ Maintain the company wiki using Notion, ensuring efficient knowledge sharing.

○ Utilize Notion to streamline internal processes and documentation.

9. Additional Responsibilities:
○ Assist in developing operational policies and procedures.

○ Facilitate cross-departmental collaboration and communication.

○ Engage in strategic planning to align operations with company goals.
