**SUMMARY**

Ensuring all utility records are adequately maintained by the company and payments of invoices are valid, accurate and complete through the effective administration of accounts and alignment with the local municipalities.

**KEY PERFORMANCE AREAS**

1. **OPERATIONAL REQUIRMENTS**: execute daily tasks and work instructions according to relevant Procedures.

**UTILITY PAYMENTS**:

- Receive all municipal invoices for all companies within the OHHA group.
- Reconcile invoices with budgets and prepare invoices for payment.
- Liaise with the municipality for any discrepancies identified

**UTILITY ADMINISTRATION**:

- Reconcile utility invoices received (and paid) to physical meter readings and reconcile unit meter consumption to block consumption and block to bulk.
- Reconcile utility consumption paid to the municipality to consumption recovered from tenants.
- Quantify all utility discrepancies for adjustments to be made within the financial accounts - based on known tariffs. (Monthly).
- Open utility accounts for new developments and close accounts for units disposed of, and recover any deposits held.
- Input water meter readings each month into the system as part of the rent roll process.
- Highlight water meter readings discrepancies with the maintenance department for investigation.
- Reconcile monthly deposits held by the municipality and maintain an inventory/database of active municipal accounts.
- Maintain database of municipal account numbers and properties owned/managed by the organization.
- Consider trends after analysing utility consumption within complexes, and with portfolio.
- Budget for utility costs.
- Contribute to solar and PV solution: the org is looking to alternate energy sources at a strategic level

**FILING**
- Establish and maintain a good filing system and investigate archiving of documents in an easy retrieval system.

**COMMUNITY INITIATIVES**
- Manage CSI activities in line with OHHAs mainstreaming plans
- Attract new and engage with current volunteers involved in the CSI programmes
- Attend meetings and events to assist with the guiding of current and new CSI programmes
- Relate & promote a customer friendly environment in all developments

**2. FINANCIAL**
- Ensure effective cost saving and waste elimination
- Meet output requirements, while containing expenditure
- nsure control and approval of expenses in accordance with the company approvals framework

**3. HUMAN RESOURCES**
- Familiarise yourself with and, at all times, act in accordance with the company’s policies and procedures

**4. QUALITY COMPLIANCE**
- Comply with Quality requirements as outlined by the company Procedures and Written Instructions in all tasks and activities.
- Ensure that the required procedures and Quality standards are adhered to.
- Ensure high quality standards of work are adhered to at all times.
- Complete all documentation timeously and accurately

**5. SAFETY, HEALTH AND ENVIRONMENTAL**
- Carry out any duty or requirement imposed on the company by the OHS Act.
- Ensure that the requirements of the OHS Act are complied with by every person under your supervision.
- Ensure that reasonably practicable steps are taken to identify, manage or eliminate any hazards or potential hazards to the safety or health of employees.
- Report any unsafe or unhealthy situations to the Managing Director.

**MINIMUM REQUIREMENTS**
- Grade 12 qualification
- Intermediate Excel skills
- Technical mindset
- A minimum of 2 - 4 years’ experience in an administrative role/environment.
- Knowledge of municipal accounts is an added advantage.

**Job Type**: Permanent

**Salary**: R11,000.00 - R13,500.00 per month
