**OVERVIEW**
The Dispatch Supervisor is responsible for the daily coordination of all the work that gets done by dispatch staff, thereby ensuring the timely dispatch of completed orders from production to the customer.
The Dispatch Supervisor occupies a pivotal and trusted role in our company. This job incumbent is the final quality assurance check that is done before labels are either sent /collected by the customer.
**WORKING ENVIRONMENT AND WORKING HOURS**
Under normal circumstances your working hours are from 08:00 until 17:00. However, please note the following:
Customer demand / orders dictate whether you should work shorter /longer hours;
Also, especially when production deadlines must be met, it will be required of you to work over weekends;
Your job will require that you stand for long periods at a time.
**TYPICAL TASKS**
The following tasks are typical to your position, but it will be expected from you to perform other functions from time-to-time as the need arise.
**Supervising**
Managing and motivating a team of staff, ensuring and effective dispatch section Organizing daily work schedules
Organizing staff training
Ensuring vehicles and driver/s comply with legal requirements
Ensuring compliance with health and safety regulations
Carrying out performance management and managing absence
Ensuring that offices, staff areas, ablution facilities as well as factories are cleaned throughout the day.
Maintaining a safe, clean and organised dispatch area at all times.
Ensuring on-time delivery/collection
Obtain priorities from daily production schedule and arrange jobs accordingly
Follow up with Senior Rewinder as to progress on prioritized jobs if not ready for dispatch Determine which jobs should be delivered, collected / couriered
Plan Driver's trips in a cost-effective manner and contact customers to collect / advise on delivery time.
**Checking Work Ticket sleeve (Job Card)**
Ensure that all documents have been completed and placed back in the WT sleeve

Samples for Sign and Seal (5 each); samples for specific customers placed in envelope together with delivery note, i.e. RR, RAM,
and
Do a final assessment of labels against the WT:
Winding direction
Quantities
Wrapping / and or boxing
All WT's for a specific order is done, e.g. label fronts and backs.
**Finalising orders**
Ensure wrapping of labels
Ensure weighing of labels
Ensure QC labels are stuck to inside of core
Ensure quantity per roll labels are stuck on every roll
Checking for color variances amongst rolls
Inform Risk & QC Manager / Customer Relations Representative immediately if shortages
Writing of Delivery notes
Updating of workflow on QE
Providing WT's to Accountant for invoicing before customer collects / Driver delivers.
**Label Stock room management**
Ensure that all 'overs' or 'call-off labels are accounted in-time for on the company's
computerized stock control system (QE)
Ensure that all stock is arranged in the label stock room; per customer; alphabetically
Provide Customer Relations Representative with structured label stock information so that stock can either be sold / destroyed / put back into the system
Allocate area for returns, rejects or customer complaints which is marked clearly
Allocate areas for label stock which needs to be stocked for further finishing purposes, i.e.
Silk-screening and Foiling.
**Over-printing**
Perform over-printing as per Work Ticket
Order Ribbon for stock purposes and for over-printing
Keep stock record of ribbon
Keep maintenance record of over-printers
Request services / repairs to be performed when needed.
