Prepare correspondence; review documents and presentations as per the Scheme Secretary’s briefs.
- Filter calls that come through to the Scheme Secretarial office and ensure a responsible person takes control and actions on call.
- Attend to mail inbox and reply as required, and receive and distribute correspondence to relevant stakeholders.
- Manage the diary and calendar of the Scheme Secretary as required.
- Ensure visitors invited to meetings have the directions and details of meeting.
- Source quotations as required and load quotations and invoices on the procurement system.
- Reconcile and submit the division’s expense reports including trustee reimbursement, travel arrangements and stationery ordering.
- Re-direct and/or escalate queries to the relevant stakeholders.
- Process payment on the relevant procurement system for authorization.
- Log calls and liaise with the relevant internal stakeholder to ensure the efficient and effective running of the division.
- Coordinate all logistics for the meetings of the Board and its Committees in an effective and efficient manner.
- Minute taking and correct transcription of minutes.
- Assist in ensuring that minutes are signed off as required by legislation.
- Prepare and bind meeting packs for the Board and its Committees.
- Ensure the timeous distribution of relevant documentation to the Board and its Committees.
- Ensure that Board resolutions are signed, updated and archived accordingly.
- Attending to meeting packs, from time to time.
- Ensure the electronic filing of the documentation of the Board and its Committees.
- Assist the Scheme Secretary to follow up on the action items to ensure the fulfilment of the decisions/resolutions of the Board and its Committees.
- Assist in the preparation of AGM documentation in accordance with relevant requirements for Board approval.
- Support and provide evidence to all internal, external and ISO audit requirements.
- Maintain quality risk management standards in line with the requirements from ISO9001:2015.
- Maintain and enforce all related Service Level Agreements to minimize business risk and ensure business continuity.
- Provide input into related Standard Operating Procedures in consultation with the Scheme Secretary to ensure business optimization.
- Adhere to all relevant laws, policies and Standard Operating Procedures throughout the organization.

**QUALIFICATION**
- Matric (Grade 12)
- Diploma in Administration

**EXPERIENCE**
- 2 years’ experience in Administration
- 1 year experience in the Health Care Industry

Pay: R500,000.00 - R600,000.00 per year

Ability to commute/relocate:

- Randburg, Gauteng: Reliably commute or planning to relocate before starting work (required)
