**Purpose of Division**:
The Human Resources and Organisational Development Division manages the organization’s continuous learning and improvement processes.

It does so through providing comprehensive Human Resources services and through its evaluation and audit functions. Equally importantly, this division inspires IRSA’s colleagues to contribute to the development, deployment and pro-active monitoring of IR’s organisational strategy, policies and processes - which are all dynamic, inclusive of IR’s partners, stakeholder focused and regularly reviewed and updated.

**Purpose of Position**

The position supports a broad range of disciplines including: payroll, compliance and tax issues related to payroll, time and attendance, training, recruiting, health and safety, insurance, organisational policy, system administration and act as an employee liaison to senior management. The position reports directly to the Chief Executive Officer and works closely with all other HOD’s. The HR Coordinator works directly with all third party vendors who provide products and systems used in Islamic Relief’s HR functions.

**Key Working Relationships**:
Has regular contract with all line managers, and staff across the organisation and a strong advisory role and working relationship with senior line managers.

To communicate effectively and systematically across the organisation and to actively support cross organisational processes.

The Human Resources Coordinator reports to the CEO and has the responsibility to plan and manager his/her own work load in accordance with Human Resources guidelines and employment legislation.

**Responsibility for Resources**:
Information resources (filing, maintain data bases, publications, archiving and reports).

Assure the quality of activities and services in Head as well as Regional Offices.

**KEY ACCOUNTABILITIES**

The job holder is accountable for fulfilling his or her roles and responsibilities in line with Islamic values and principles of fairness, humanity, honesty, respect and fair treatment of his/her colleagues and staff.

**The management of comprehensive recruitment & payroll functions by**:

- Overseeing the full recruitment process within IRSA ensuring that all legal requirements are adhered to.
- Providing professional support and advice on recruitment to departmental managers and advise them on best practice.
- Assisting with preparing job descriptions and person specifications with Heads of Department.
- Devising, running and evaluating selection processes including interviews and personality questionnaires.
- Coordinating with all relevant departments to manage IRSA payroll system ensuring that IRSA staff are paid in a correct and timely fashion.
- Contribute to preparing the staff handbooks to ensure that the workforce is aware of company policies.
- Oversee recruitment screenings to ensure hired staff are clear of any criminal, fraudulent or terrorist involvement to protect the Organisation from legal and reputational risks.
- Conduct orientations for new recruits and help new employees’ integrate into the Organisation.
- Ensure new employees receive induction packs and associated information on their first day of employment and that facilities / equipment is readily available upon commencement of employment.
- Oversee staff attendance and advising line managers on recurrent absenteeism.
- Participate in reports as and when required.
- Prepare reports to CEO on sick absence, turnover, trends, recruitment costs and any others as required.
- Research and complete projects as and when required.
- Prepare Redundancy calculations as and when required.
- Support staff to get legally required paperwork for employment/work in South Africa.

**Other**:

- To ensure and proactively promote and foster a culture in which Islamic principles, values and approaches which are adopted by IR are consistently respected, applied and complied with in the delivery of the country / division / unit objectives and in the conduct of its employees.
- Responsible for maintaining own professional development.
- Maintain and update Human Resources system.

**Educational Qualification**

A degree in appropriately related HR functions, or a combination of education and several years’ work experience in the following; human resources, finance, business management, labour related fields and information technology.

**Skills & Knowledge Required**
- Demonstrated experience in providing a wide range of personnel services to a high standard including recruitment and retention, equal opportunities, disciplinary action, advice to manager e.g. on sickness, redundancy issues.
