A retail chain seeks a Payroll Clerk for a 4-month fixed duration contract to oversee full payroll functions, including processing and resolving queries. Responsibilities include coordinating timekeeping systems, ensuring compliance with statutory requirements and generating reports while maintaining accurate records. Applicants should have relevant qualifications, 2 years of experience, and proficiency in payroll systems, Excel and communication skills.

**Responsible for the following duties but not limited to**:

- Responsible for the full payroll function
- Collation and checking of payroll documents from stores
- Processing of monthly payroll including processing of hours, processing of payroll changes, distribute pay slips and resolve payroll queries
- Be the custodian of payroll sign-off with key stakeholders
- Management and coordination of the ERS Biometric time and attendance system
- Analyse payroll problems and provide appropriate solutions
- Work closely with the relevant human resource and finance teams to ensure payroll month end processing
- Generate payroll reports and complete monthly tasks by following a clearly defined workflow system and checklist
- Compile month end reporting to share with the finance team.
- Complete monthly payroll control account recons
- Help the external auditors with information if needed and implement audit recommendations
- Ensure the ERS time and attendance information imported into the system is checked and accurate prior to shift counts being performed
- Manage shift reports with the operations team for month end payroll
- PsiberWorks Report writing as required by management
- Review and maintain payroll policies and procedures with the HR manager & finance team to maintain an efficient payroll service to the
- Group and streamline payroll processes

**Return of Earnings / WCA**
- Assist the finance team with compiling and analysing return of earnings reports for all companies in group and submit return of earnings to Department of Labour
- Ensure submissions are made and managed to completion

**Employee Rostering and Time-Keeping Management (ERS)**
- Daily upkeep, management and maintenance of the time keeping system
- Provide support and guidance to all users
- Manage the employee rostering platform and that it is correctly used by users
- Deal with system related queries

**Statutory Reporting**
- Assist with submitting EMP201’s to SARS by their deadline dates as dictated by SARS
- Assist with UIF declarations to be made each month
- Assist with SETA reporting for claims purposes

**Leave Management**
- Manage the daily leave process so that all leave is captured by employees and managers that have unplanned absence
- Create and pre-populate leave planners

**COIDA**:

- Assist with collections of WCA documentations, i.e. First Doctor’s Report, Progress Report and Resumption report to finalise the claim when required
- Ensure accurate reporting of WCA documentation
- Assist with follow ups on submissions to ensure it has been received

**Requirements**:

- Relevant Payroll or HR Diploma or Degree
- Minimum of 2 years’ experience in Payroll
- Knowledge of and experience of working on a Payroll System (PsiberWorks desirable)
- Experience working on ERS biometric system (Time & Attendance) essential
- Experience in working on Excel spreadsheets (Intermediate level of knowledge and experience)
- Basic HR knowledge
- Knowledge of provisions of Basic Conditions of Employment Act
- Statutory and legislative requirements in respect of PAYE, UIF, Workman’s compensation
- Strong business expertise, a keen understanding of business needs, and ability to ensure technical solutions, strategies and practices
- Experience translating business requirements into solution specifications
- Labour law knowledge
- Computer literate (MS Outlook, MS PowerPoint, MS Excel)
- Excellent communication skills
- Excellent administrative and record keeping skills
- High attention to detail
- Sense of urgency and accuracy is essential
- Able to drive change and persuade and influence both internal and external stakeholders
- A high level of maturity, emotional intelligence and insight into diverse teams and individuals
