Credit Controller

**Job Purpose**
The purpose of the role is to collect current rentals and historic outstanding rentals, to manage arrears effectively as well as attending to Reception and Property Administrative tasks. Key Performance Areas (KPA’s) Key Performance Indicators (KPI’s).
**Collection of outstanding accounts.**
1. Follow up and collect all outstanding monies from current and ex-tenants who are in arrears for payment regularly.
2. Negotiate on payment arrangements.
3. Provide statements to relevant parties when required.
4. View banking unallocated and suspense accounts for payments received with incorrect reference numbers and send correct information to banking.
5. Calculate assessment rates and send to the stakeholder.
6. Carry out recons on outstanding tenant queries.
7. Update Tenant Reports on Budget Packs.
8. Provide feedback on arrears on a monthly period.
9. Ensure that all files handed over to the Legal Department are accurate and complete.
10. Reconcile tenant accounts & ensure proper feedback is provided including credit balances.
11. Attend to Circuit Breaker Reduction requests and submit same for approval.
12. Attend to Utilities enquiries which includes liaising with Utilities Department.
**Conduct administrative duties related to Property Administration.**
1. Send out the appropriate arrears letters.
2. Blacklist all tenants/slow payers as per company policy which have been written off.
3. Update the notes regularly on the arrears report.
4. Ensure that all instructions are issued timeously where adjustments to tenant accounts are made.
5. Update and correct tenant information as required.
6. Reconcile credit balance accounts to make sure that they are correct.
7. Check the rent-roll reconciliation report on a monthly basis and submit to Portfolio Manager.
8. Attend to tenant cases including CRM cases timeously & effectively.
9. Communicate on a regular basis with the Property Manager regarding problematic tenants. Make sure that this is documented and submitted for auditing purposes.
10. Reconcile Maintenance Management Tenant Recovery Report with RFI’s sent to Admin.
**Conduct administrative duties related to Property Administration.**
1. Draft Lease Schedules for Renewals and New Deals on request and when needed.
2. Manage Reception. Assist walk-ins with basic enquiries and assist tenants by redirecting enquiries to the relevant Department (Maintenance Management or Property Management) depending on the type of enquiry.
3. Print and distribute Property Management Reports and submit to Portfolio Manager when reports are due.
4. Check Maintenance Manager Stock Sheet once a month to ensure accurate reporting and that ordering of stock is done in a timeous and effective way and submit to Portfolio Manager.
5. Print and distribute monitor jobs to Maintenance Manager
**Working conditions**:
Site Office Based, have to travel to CPA Head Office for monthly meetings if required (own transport required)
**Qualifications & Experience**:
2. Related Financial qualification preferred.
**Skills & Knowledge Required**:
1. Basic knowledge of MDA preferred.
2. Basic Accounting knowledge.
3. Understanding of reconciliation.
4. MS Office:
a. MS Word - Basic
b. MS Excel - Basic
c. MS Outlook - Basic
5. Good communication skills.
6. Good telephone etiquette.
7. Basic understanding of the Afrikaans Language required and being able to speak the language is preferred.
