- To effectively manage & control the movement of cargo from the designated origin to the prescribed destination in-line with the client’s instructions & requirements whilst adhering to company policies, procedures & requirements.- Operational Processes:
- Ensure that operational files are handled in accordance to the various process flows.
- Always ensure the highest levels of customer service and attend to client’s requests and queries promptly
- Liaise with client / supplier effectively throughout shipment process.
- Indent monitoring/ Bookings:
- Assist clients with any queries related to operations and documentary requirements needed to successfully facilitate the transport process.
- Monitor orders placed until such time as the goods have been confirmed as delivered, constantly keeping the client updated on the progress
- Customs Clearing:
- Ensure that the correct documents are handed over to the Customs department to effect customs clearance.
- Follow up with the Customs department until the consignment has been duly released by SARS. Exports: All consignments have to be cleared and duly released by SARS for export prior to the cargo being delivered- Transport and Delivery:
- Obtain release of the consignment from the relevant Customer.
- Forward a transport booking order to the contracted haulier stipulating the collection and delivery locations, the agreed rate as well as any special requirements.
- Arrange for the cargo to be delivered in accordance with the client’s clearing instructions/requirements.
- Ensure the transport is executed properly and cargo is delivered on time.
- Should the service offering be sub-standard ensure all service failures are reported as well as any claims or incidents within a maximum of 24 hours.
- Ensure that the proof of delivery and acquittal (where applicable) is received from the nominated haulier for all loads conducted on behalf of customers within the relevant KPI time frame
- Finance and Administration:
- Ensure that Operating system files are generated prior to shipment execution.
- Obtain invoices/ costs from all the relevant service providers prior to raising the invoice to the client ensuring that the invoices are checked/ authorised and sent to accounts for payment.
- Ensure the order is opened at the time of the booking confirmation or latest within 24 hours of confirmation.
- Credit notes: all credit notes need to be sent to the General Manager, or if there is a negative financial implication, then by MD or FD prior to credit note being passed. Supporting documents to include any correspondence, tax invoice and proforma invoice with new charges.
- Ensure that creditors invoices relating to the operational file are captured on the operating system as per the requirements, and queries (where applicable) are addressed timeously
- Quality Control:
- Quality checks must be performed on the order prior to closing, ensuring that all the relevant documents are kept on file in accordance with the Customs & Excise Act 91 of 1964, as amended and the VAT Act 89 of 1991, as amended.
- Adherence to QMS guidelines in line with the company’s ISO 9001 accreditation is also an essential requirement.
- Status Reports/Reporting:
- Ensure tracking reports (where applicable) are sent to the customer daily, until completion of the delivery by no later than 9am.
- Ensure customers are kept informed of the shipment status at regular intervals
- Other Responsibilities:
- Ensure that the full scope of your job is carried out effectively and efficiently.
- Maintain confidentiality and exercise discretion when sharing information.
- Ensure that your own work area is always kept neat and tidy.
- Ensure adherence to the guidelines set out in your employment contract (timekeeping, telephone and internet usage, dress code, etc.)
- Ensure that reports are sent out as per the requirements.
- Perform any other reasonable tasks that may be assigned to you at Management discretion**Inherent Requirements**
- Education: Grade 12- BCom: Logistics Management, Supply Chain Management or relevant degree.- Experience: 4 years’ experience working in the freight / logistics industry.- Minimum 3 years’ experience working with Bulk cargo.- A good working knowledge of Customs procedures- ESSENTIAL: MUST have worked with bulk cargo previously.**What Qualification**
