ROLE OVERVIEW

The POD Clerk is responsible for the day-to-day handling of POD requirements for the GDG fleet, Group fleet and Sub-contractor fleet whilst providing support to the operational team, ensuring that all documents are in order and systems are updated, allowing to close the trip timeously and invoicing can continue without hold up.

The Pods Clerk is responsible for ensuring efficient, profitable, and professional handling of PODs by receiving, verifying, uploading, and data entry of PODs and their dispatch on the relevant systems. This ensures the timely and accurate invoicing of clients in line with their requirements.

OUTLINE DUTIES AND RESPONSIBILITIES

The POD Clerk is responsible for the following:

- Receive PODs from drivers and confirm if all documents are in order. If there is any missing document, signature, or discrepancy, you must immediately inform the driver and Operations Team.
- Ensure accurate and complete data entry with regards to the acknowledging of PODs on the FMS System.
- Upload PODs on Magic Eye System, ensuring quality, visibility and correct information and data selected and/or entered.
- Prepare and send PODs to the accounts department.
- Follow up with other departments, business units, subcontractors, or branches to ensure PODs are received in a timely manner so that the trip can be closed and invoiced as per the SOP.
- Control, track, and pursue missing, not received, or incomplete POD’s.
- Ensure all POD reports, administration, filing, and/or archiving is done accurately, thoroughly, and timely.
- Report to Operational Departments, Human Resources Department and Management all POD’s marked with cargo shortage or damage/endorsements.
- Report to the Sales and Finance Manager, Operations Department and HR Manager any deviation from regulations and/or any misconduct by any driver to ensure corrective actions are implemented relating to incomplete PODs received.
- Always ensure that you are proficient in the systems used by Greendoor Group and should be familiarised with any new systems that may be implemented from time to time.
- Follow-up on relevant automatic reports relating to missing outstanding or late POD’s.
- Liaise with other departments, entities, branches, or sub-contractors for POD’s receipts and/or any outstanding matter.
- Perform other tasks as the supervisor, manager, operations manager, and/or deputy general manager, and/or CEO may be required.

EDUCATION AND/ OR EXPERIENCE
- Academic Background: Relevant Educational Qualifications and Training.
- Experience required: Experience in a similar role within the transport industry will be desirable but not determinate. Administration experience will add an advantage.
- IT knowledge: excellent knowledge of Microsoft Office products (word, excel, PowerPoint);
- Others: English
- good level of the English language, both written and spoken;

**Job Types**: Full-time, Permanent

Pay: R1,00 - R10,00 per month

- Olifantsfontein, Gauteng: Reliably commute or planning to relocate before starting work (required)
