Legal Secretary/personal Assistant

Executive PA that is good in PowerPoint and Excel - English as first language. She must be able to draft legal letters that go out to residents.
The role would be responsible for delivering secretarial support services, researching and presenting material. You will liaise with existing clients with a view to developing those relationships and maintaining a high level of client service.
Deliver secretarial, Legal and personal assistant support services, ensuring adherence to best practice, standardized processes and procedures.
**Key Responsibilities**:
**Providing administrative support**:
- Completion of digital dictations, correspondence and documents using precedent forms and legal forms
- Draft, format and amend complex legal documents
- Copy typing and quality control of legal documents
- Prepare, update and maintain excel spreadsheets
- Organize team meetings and minute taking
- Maintain and update author calendars
- Arrange travel bookings if required
- Billing, invoicing and general accounting duties
**File management**:
- Open and close files in accordance with firm policy, ready for archiving and off site storage
- Photocopying, printing, scanning and binding
- Prepare files daily requiring attention for meetings, author attention and appropriate action
- Electronic document management
**Managing conveyancing end to end processes**:
- Interpretation of Sale and Purchase Agreements
- Drafting initial letters for sale and purchase or relevant subdivision information
- Dealing with relevant Council and Real Estate Agents
- Liaising with clients and relevant solicitors on behalf of fee earners
- Drafting transfer documents for signature
- Preparation of settlements including drafting settlement documents and preparing edealing pack
- Maintain and release e-dealings
- Attending to settlement (receipting funds and arrange payment to relevant parties)
- Reporting to client post-settlement
**Experience**
- 3 - 5 years conveyancing experience within the legal industry
**Skills and Knowledge**
- Exceptional communicator, both written and verbal
- Ability to quickly establish rapport and build excellent and positive working relationships with internal and external clients
- Excellent organization and time-management skills
- Excellent computer skills and advanced knowledge of the Microsoft Office suite
- A knowledge of Infinity document management system would be advantageous
- Understanding of confidentiality
- Accuracy focus with an exceptional eye for detail
- Ability to understand and comprehend conveyancing transactions with a knowledge of the legal documents
