Administration of all Services, Maintenance and Stores

Machine uptime
- Ensure technicians are sensitized to SLA status

Maintenance Administration and Planning
- Maintaining and tracking assets, its maintenance and state.
- Upkeep of System data relating to service and maintenance, planning and processing of job cards, breakdowns and service bulletins.

Service Stockholding
- Transacting and control of maintenance stock.

Customer Service
- CSI
- Query management

Procurement
- Requisitions
- Supplier communication

Logistics
- Logistics planning
- Timeous delivery and collections
- CSI

**JOB DESCRIPTION**

The Service, Maintenance and Stores Administrator is responsible for the following:
**AREA / TYPE**

**Responsibilities**

Daily yard checks

1. Ensure yard checks are completed daily

2. Send to It for capturing

3. Investigate discrepancies on the daily machines not on hire not in yard reports

Maintenance Administration and Planning

1. Filing of machine documentation and attaching to AX system.

2. Counter, Engine service, load tests, hydraulic service, PDI etc updates in AX

3. Monitor and correct maintenance cycle problems.

4. Merge Maintenance Projects.

5. Plan Job cards.

6. Distribute Job card data.

7. Record Items, hours, counter and requisitions per job card.

8. Update job card status.

9. Initiate and process Requisitions and PO’s based job card requirement.

10. Scan and attach service documents to system (Load Test etc.)

11. Reporting (Internal) as designated.

12. Initiate and follow up on Exchange (Rental) tasks.

13. Book and confirm S&T for technicians if applicable.

Breakdowns

1. Take customer breakdown calls

2. Establish nature and breakdown

3. Breakdown resolution on phone

4. Allocation of technicians

5. Breakdown management and follow ups with customers

6. Updating breakdowns in AX

7. Update comments on breakdowns at least every day

8. Arrange machine swap outs where required

Storeman and Service Stockholding

9. Stores maintenance -workshop and mobile stores

10. Order spares as per minimum stock levels.

11. Receiving of all spares and relevant documentation.

12. Monthly stock-take administration, variance analysis

13. Ordering and Issue of PPE and stock

14. Stock requisition management and capturing in AX

Customer Service

1. Standby after hours

2. Query Management

3. Net promoter score

Procurement

1. Obtaining quotes from Suppliers

2. Load purchase requisitions in AX

3. Communicate PO Numbers with Suppliers.

4. Follow up urgent orders and payment.

4. Filing of procurement function documentation.

Logistics

1. planning deliveries and collections

2. arranging external transport where required

3. updating transport and planning board in AX

4. Keeping customers updated on delivery and collection times
