To assist the Managing Executive in fulfilling function specific business responsibilities as assigned by the Managing Executive and to provide organisational, administrative and logístical support to the Managing Executive unit in a way that enhances the effectiveness of the Managing Executive or Head of the Business unit and the area they lead.

**Job Description**:
Accountability: Business & Operational Management
- Attend forums and management meetings to ensure that the Managing Executive office is well informed, and all reports distributed as required.
- Provide guidance and input around operational issues and day-to-day operational management of the Managing Executive office.
- Distribute issues to the correct level of operational management for resolution by identifying issue at hand and delegating to relevant team (Example: Customer Complaints, Escalations).
- Ensure smooth running of the Managing Executive office.

Accountability: Stakeholder Management
- Establish and manage relationships with both internal and external sources of information/industry role players and clients in order to source relevant information.
- Build and maintain relationships with both internal and external role players e.g., Research Forums conferences.
- Build relationships with colleagues in Absa Home Loans, Product Solutions Cluster and other clusters in the bank to share information/ideas

Accountability: Operational Process Support
- As the first point of contact for the Managing Executive, demonstrate professional demeanor and discretion and role model Absa Values when interacting with all stakeholders, especially in high-pressure situations
- Take personal accountability for ensuring all complaints lodged directly with the Managing Executive are resolved.
- Maintain an updated view of key issues and opportunities in the business unit and provide regular updates to the Managing Executive on progress, risks and issues.
- Review reports prepared by line managers in the business unit and advise the Managing Executive of substantial issues and actions that have been created to address these.
- Support the Managing Executive’s team management including establishing regular team and 1:1 interaction for direct reports with the Managing Executive on topics including performance, development and general engagement
- Take charge of general office administration
- Manage travel, cell phone, expense claims etc. (i.e., responsible for controlling signatures, taking policy into account, urgency and effecting timeous forwarding of documents) in line with Absa policies and standards.
- Retrieve bank property e.g. cell phone, 3G cards, laptops, access cards etc. from direct reports as required.

Accountability: Administrative Support
- Manage the diary of the Managing Executive, in an efficient manner in line with the Managing Executive’s priorities, including booking of venues, preparation of relevant meeting materials, arranging travel, and taking minutes where required.
- Oversee the planning and execution of BU events for the Managing Executive such as town halls, road shows, employee discussion forums, product launches, customer entertainment events and formal functions.
- Where required by the Managing Executive prepare the key presentations and reviews for the Managing Executive by researching and packaging detailed content. Ensure that presentations are designed to reflect the business unit's brand and Managing Executive's personal style.
- Organizing regional engagements with Regions and Stakeholders to ensure that the Managing Executive remains close to colleague, customers and stakeholders.

Accountability: Governance and Control
- Ensure governance for the Managing Executive is in place and running smoothly (Exco management committees, Minutes and Actions are well tracked, and open issues resolved, and opportunities leveraged)

Education and Experience Required
- B-degree in or equivalent qualification
- 3 Years’ experience in Financial Services Industry
- 3 Years’ experience in Banking
- At least 3 years’ recent experience supporting a senior-level executive
- Previous experience of successfully working in a dynamic, high demand work environment with tight deadlines, where the role required handling and maintenance of highly confidential and sensitive materials
- Excellent verbal and written communication skills

Education

Bachelor's Degrees and Advanced Diplomas: Business, Commerce and Management Studies (required)
