The role will report into the **Distribution Manager** and will be based in **Bushbuckridge**.
This position exists to manage and maintain the outbound and returns processes and outbound team thereby ensuring that productivity and performance are maximized. To manage and maintain the fleet and the transport team in the depot, thereby ensuring that productivity and performance are maximized.
**Duties & Responsibilities**:
**Outbound Control**:
Control the functions of outbound, ensuring products are dispatched out to customer.
Ensure that all orders leave the site correctly snake loaded onto the trucks.
Ensure all dispatch paperwork, including but not limited to delivery notes and invoices, has been completed accurately and accompanies stock delivery.
Manage and facilitate the process of loading goods onto trucks and ensure all products are sealed for transport to customers.
Track outbound damage trends related to Logistics, establish root causes and take the appropriate corrective action.
Liaise with the production team and align transport and customer expectations accordingly.
**Customer Liaison**:
Communicate and resolve issues regarding damaged stock, stock shortages or wrong stock.
Check that details on dispatch paperwork accurately align with customer orders.
Notify customers should any transport incident have a likely impact on delivery.
**Loading Bay and Office Maintenance Management**:
Manage and monitor the condition of the loading bay and office ensuring that: It is kept clean.
Damaged goods are dealt with according to SOP.
Areas in need of attention are reported to the Maintenance Manager via the job card system
All forklifts are in good working condition and issues are reported to the Supply Planning Manager.
**Fleet Control**:
Execute the daily schedule.
Check that a job card has been allocated to work and that the driver has managed to complete the form correctly.
Ensure that drivers complete the checklist every morning and afternoon to establish if there are any defaults.
Request complaints and difficulties for the day and take the appropriate action.
Track transport performance against benchmarks by means of monitoring: 1. Backdoor standing time. 2. Yard delays. 3. Truck turnaround time.
Take the necessary disciplinary action depending on the particular instance or trend.
**Compliance Control**:
Ensure that all truck and forklift drivers have valid driver’s licences and PDP’s.
Ensure appropriate PPE and uniforms are worn at all times.
Ensure all staff members comply with health and safety requirements.
Investigate and report on all injuries on duty (IOD’s).
Implement safe working procedures.
Ensure staff understand and comply with the standards set by ISO 22 000 and HACCP (if applicable).
Certify that a new load always enters a clean and well maintained vehicle highlighting the significance of quality.
**Health and Safety Compliance**:
Schedule and manage washing of trucks, either internally or externally, and check all chemicals used are approved.
Ensure trucks are fumigated as and when required, either internally or externally.
Ensure Internal parties (Drivers) or Outsourced parties (washing or fumigation) have received sufficient training and follow the correct washing and/or fumigation procedures.
Ensure all outsourced washing and/or fumigation records are kept and are approved by the Supply Planning Manager.
**Security Control**:
Investigate hijacking incidents to establish whether or not they are genuine cases.
Ensure that all stock leaves the site with proper documentation.
Ensure where cameras are used that they are focused on risk areas such as entry and exit points and on staff activity/inactivity to ensure staff are appropriately utilised and productive.
Ensure that security staff check staff leaving for tea and lunch breaks.
Ensure all trucks leaving the site are sealed and recorded in a seal register.
**Team Supervision**:
Complete a daily Report indicating reasons why ad hoc casuals and or overtime were used and obtain approval from Supply Planning Manager prior to arranging casuals and or overtime.
Train staff on the Standard Operating Procedures that serve to guide their approach to work.
**Minimum Requirements**:
A 3-year National Diploma in Logistics, Fleet and/or Warehouse Management is required.
Must have a valid Code EB drivers' license.
A minimum of 3 years’ management experience in a similar environment is required.
Computer literacy (MS Office & Excel) is required.
**Knowledge**:
SAP system.
Smartech system.
Outbound and stock handling processes.
