KEY RESPONSIBILTIES
Creative Team and Traffic / Workflow Management:
Managing the in-house creative team and external agencies as required, to ensure the smooth running of workflow globally.
To be the first point of contact for creative, copy and production briefs, scheduling deadlines for projects, creating production plans and budgets, and assigning team members to each necessary step in the process.
Schedule, track and document all projects effectively, to ensure work is delivered on time.
Accountable for improving creative workflow, streamlining processes for faster turnaround, accurate responses to briefs, at less cost and with the highest quality output.
Print & Signage Production:
Manage the entire production pipeline for all printed Marketing elements and signage (campaigns, seasonal change overs, promotions, generic ticketing in stores, brochures etc.)
Manage print suppliers to ensure print deadlines are met and to ensure printed material meets brand standards.
Negotiate with print suppliers to achieve cost efficiencies within the allocated budget.
Manage relationships with key suppliers, e.g., design agencies and print agencies, negotiating quotes and estimates to ensure maximum value and quality is achieved for all projects.
Develop new signage as per brand requirements in coordination with print suppliers, including working with samples and substrates.
Ensure marketing material is distributed on time and correctly to the Retail team.
Create and manage briefs for the Retail teams, detailing campaign execution and signage instructions to ensure effective execution.
Ensure timely and accurate distribution of marketing materials to the Retail team.

Influencer management
Compile all contracts for influencer partnerships, manage signing and expectations.
Manage all timings, order product and ensure it is delivered correctly.
Liaise with the warehouse and customer service team on delivery dates and product management.
Image management:
Manage and maintain content pool of images, videos, and copy, ensuring accurate cataloguing and accessibility.
Oversee the management and handover of new product shoots to the website team while also conducting thorough quality checks to maintain high standards.
Manage relationships with external agencies and stakeholders:
Manage relationships with all appropriate agencies e.g., Media, freelance designers.
Ensure print ads and other artwork is handed over to agencies on time.
Manage the Media schedule for the year, ensuring this stays up to date.
Communicate with shopping centres monthly regarding appropriate marketing opportunities for the brand.
Invoice processing & Tracking:
Coordinate and manage all invoices coming through the department.
Process invoices through the relevant software so that suppliers can be paid timeously.
Communicate with the Finance team to ensure that processed invoices are captured correctly.
Budget Tracking: Meticulously monitor and track budget allocations to ensure financial efficiency and adherence to financial guidelines.
Other:
Documentation and Record-Keeping: Maintain organized and up-to-date records, including project documentation, vendor contracts, and production schedules.
Vendor and Supplier Management: Cultivate and maintain relationships with key suppliers, negotiate quotes, and ensure cost efficiencies while maintaining quality standards.
Inventory Management: Oversee and supervise stock levels to ensure the availability of adequate supplies for production and marketing collateral.
Data Analysis: Collect and analyse production data to identify areas for improvement and efficiency optimization.
