**Position Overview**: We are seeking a detail-oriented and organized Unit Administration Assistant (UAA) to join our administrative team at the new Mveledzo Day Hospital in Thohoyandou. The UAA plays a crucial role in supporting unit operations, managing administrative tasks, and ensuring efficient workflow within the healthcare setting.
- **Key Responsibilities**:

- Greeting and assisting patients, visitors, and staff members in a professional and courteous manner at the unit's reception or administrative area.
- Maintaining and organizing unit records, documents, and patient files in compliance with confidentiality and data protection policies.
- Assisting with patient admissions, transfers, and discharge processes, ensuring accurate documentation, and coordinating with nursing and clinical staff.
- Scheduling appointments, meetings, and procedures for patients, staff, and healthcare providers, managing calendars and coordinating room bookings as required.
- Managing inventory and supplies for the unit, including office supplies, forms, and equipment, and submitting procurement requests as necessary.
- Assisting with billing, invoicing, and insurance-related tasks, verifying patient information, and coordinating with billing departments or third-party payers.
- Supporting unit managers and supervisors with administrative tasks such as preparing reports, data entry, and maintaining databases or electronic health records (EHR) systems.
- Adhering to administrative policies, procedures, and regulatory requirements, ensuring accuracy, completeness, and timeliness of tasks.

**Qualifications and Requirements**:

- High school diploma or equivalent qualification required; additional training or certification in office administration or healthcare administration is a plus.
- Proven experience in administrative roles, preferably in a healthcare or clinical setting.
- Proficiency in computer skills, including Microsoft Office Suite (Word, Excel, Outlook) and experience with electronic health records (EHR) or medical billing systems.
- Excellent communication skills, both verbal and written, with the ability to interact professionally with diverse individuals.
- Strong organizational skills, attention to detail, and ability to prioritize tasks in a fast-paced environment.
- Ability to maintain confidentiality, handle sensitive information appropriately, and adhere to data protection regulations.
