PATH’s Advocacy and Public Policy (APP) department works to improve global health by increasing awareness and support of global health priorities and evidence-based policies among policymakers, coalitions and other influential individuals and groups. We work with policymakers, coalitions, and other influential stakeholders to drive change at the global, national and subnational levels.

PATH’s APP department is seeking to hire a** Program Assistant **to support advocacy and policy initiatives working closely with other APP programs across Kenya, Democratic Republic of Congo, South Africa, Uganda, the United States and Europe and at the multilateral level.

The Program Assistant will be based in Johannesburg, South Africa and will report to the senior Advocacy and policy officer based in Nairobi.

**Key Responsibilities**:
Working with the South Africa and Nairobi based APP staff, the Program Assistant responsibilities will include:

- Providing meeting planning and logistics support
- activities may include scheduling internal and external meetings, seminars, workshops, and other events as necessary, as well as Coordinating event-related logistics, maintaining database of project contacts, and drafting meeting notes and coordinating review, distribution, and filing.
- Drafting project reports and communications materials
- in consultation with relevant staff, plan and coordinate the production and distribution of monthly activity reports and other communications materials as requested.
- Ensure timely reimbursements of participants taking part in project activities.
- Facilitate hotel bookings, transportation, logistics and other travel needs for project staff. Lead team logistics and administration, including initiating and managing procurement processes maintaining, helping program staff accurately communicate their travel and leave dates, assisting APP staff with travel planning arrangements and post-travel reimbursements, including cheque requests, meal conference forms, etc.
- Maintain an up-to-date budget tracker for project activities
- Maintain an inventory of all project assets and consumables
- Monitor project schedules and work plans
- Assisting the Advocacy and Policy teams in planning and arranging day to day meetings and events with key project partners at the national level Coordination with other program assistants within Advocacy and public policy to ensure smooth coordination of administrative tasks between the department
- Providing event planning and logistics support to the APP team, including scheduling internal and external meetings, workshops, and other events as necessary, as well as coordinating event-related logistics, maintaining database of project contacts, and drafting meeting notes and coordinating review, distribution, and filing.
- Liaise with other country teams to identify other areas where additional administrative support may be required.

**Required Skills**:
Required Experience
- Bachelor’s degree in Project Administration or any other related field.
- At least five years of experience in program administration; provision of logístical
- Support for program activities, inventory management, monitoring project schedules and
- Work plans and ensuring compliance to policies.
- Demonstrated experience in documenting activities through reports and photos.
- Demonstrated ability for workshops/trainings preparation.
- Advanced Microsoft Office skills, especially Outlook, Word, Excel, and PowerPoint
- Excellent written and oral fluency in English skills
- Excellent interpersonal and communication skills and a proactive mindset
- Experience working with government officials
- Advanced event planning and management skills, as well as the ability to cope with multiple deadlines and changing priorities
- Excellent time management and organizational skills, able to coordinate with multiple teams across diverse backgrounds
- Adaptable to changing priorities.
- Effective time management.
- Experience working under tight deadlines.
- Proven experience working in a team environment with mínimal supervision.
