**JOB PURPOSE**

To provide internal and external stakeholders with a pleasant and professional reception experience when visiting the company’s office and to provide administrative support to the company.

**QUALIFICATIONS & EXPERIENCE REQUIRED**
- Minimum Matric qualification is mandatory.
- Tertiary qualification or course related to this role is an advantage.
- Must have at least 1-year receptionist and admin experience.

**KEY AREAS OF RESPONSIBILITY**:
Front line duties
- Serve client and visitors by greeting, welcoming and directing them appropriately.
- Interact with all internal and external staff, clients and visitors.
- Notifies manager personnel of visitor arrival.
- Create a visitor log daily for all visitors.
- Maintains security and telecommunications system.
- Maintains a clean and sanitary workstation and reception area.

Switchboard
- Telephone answering
- answer calls in a timely manner and direct calls to the appropriate department.
- Telephone numbers - to dial all telephone numbers for the company and see that all lines are working.
- Voice messages - to listen to voice messages and forward to the appropriate department.
- Call procedure - follow the correct hold and transfer procedure on calls.

Administration
- Record mail on system and stamp & post outgoing mail. Flag return mail.
- Order waybill and bags, follow-up on queries.
- Compiling and submission of attendance register daily.
- Photocopying, binding, scanning, faxing, shredding, laminating, filing.
- Putting up posters/staff communication and removing when no longer valid.
- Handle general ad hoc administration

Boardroom
- Provide assistance on calendar management, meeting and managing co-ordination for the booking of boardroom appointments with clients.

Ad-hoc
- Perform any other work-related duties and responsibilities that may be assigned from time-to-time by management.
