As we continue to grow, we are seeking a dynamic Receptionist to join our team and be the first point of contact for our valued customers and visitors.
**Job Summary**
**Key Responsibilities**:
- Greet and welcome guests as soon as they arrive at the office
- Direct visitors to the appropriate person and office
- Answer, screen, and forward incoming phone calls
- Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g., pens, forms, and brochures)
- Receive, sort, and distribute daily mail/deliveries
- Maintain office security by following safety procedures and controlling access via the reception desk
- Update calendars and schedule meetings
- Perform other clerical receptionist duties such as filing, photocopying, transcribing, and faxing
**Requirements**:
- Proven work experience as a Receptionist, Front Office Representative, or similar role
- Proficiency in Microsoft Office Suite
- Hands-on experience with office equipment (e.g., fax machines and printers)
- Professional attitude and appearance
- Solid written and verbal communication skills
- Ability to be resourceful and proactive when issues arise
- Excellent organizational skills
- Multitasking and time-management skills, with the ability to prioritize tasks
- Customer service attitude
- Sales orientated, maintaining sales filing for orders
- Control coffee/tea, office stationery
- Control office cleaner
**Additional Requirements**
- appearance - must be neat and clean. Overall demeanor should represent Freedom Stationery favorably.
- Personality - must be confident, animated and outgoing.
- Communication skills - the ability to speak clearly and listen attentively is critical to this position.
- Good Phone Manner - whether or not a potential customer eventually comes in depends upon the Receptionists ability to effectively communicate over the telephone. Good voice tone and the ability to articulate on the phone is vital.
- Good organizational skills
- Reliability - Receptionist must be prompt and consistent in their performance.
- Reliable Transportation
- Request for calls must be followed up with feedback if call requested is not forthcoming because of the ‘’other parties’ ‘’ non-availability.
- Request for calls must operate on a FIRST REQUEST FIRST CALL BASIS.
- Confidentiality must not be breached.
- Carry out any lawful / reasonable task as instructed by Management.
- To comply with all work instruction and procedures as laid down by the Quality Management System namely ISO 9001
Pay: From R24,00 per hour
